Job Summary
We are seeking an organized individual to fill our Office Administrator position and oversee daily office operations. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, and human resources. This role involves coordinating new client intake and project scheduling, general job tracking, basic bookkeeping and invoicing, permit applications, minor human resource tasks, and client services.
Key Responsibilities
- Manage daily office operations, including operating a multi-line phone system, client scheduling, and employee dispatch.
- Manage the schedule and working calendar for estimates, jobs, and inspections.
- Apply for municipal permits, schedule inspections with local building departments and clients, and track permit closures.
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and payroll processing.
- Maintain accurate filing systems and perform general clerical tasks such as data entry, document preparation, and record keeping.
- Minor human resources functions including onboarding new employees, maintaining personnel records, and assisting with HR policies.
- Ensure effective communication between clients and the organization through clear phone etiquette and professional correspondence.
Qualifications
- Experience in customer and administrative service.
- Experience with some form of service management software.
- Good communication skills on the phone and in person.
- Proficiency with QuickBooks and Microsoft Suite (Excel, Word).
Job Types: Full-time, Part-time
Pay: $17.00 - $25.00 per hour
