- Manage multi-line phone systems to handle inquiries efficiently, directing calls to appropriate departments or personnel
- Maintain accurate records through data entry, filing, and document proofreading to support office operations
- Utilize computer skills including Microsoft Office and Google Workspace to prepare correspondence, reports, and schedules
- Assist with calendar management and appointment scheduling for staff or executives, ensuring timely follow-ups
- Handle clerical tasks such as photocopying, faxing, and organizing documents to keep the front office running smoothly
- Support office management activities by coordinating supplies, managing incoming mail, and maintaining a tidy reception area
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent customer service abilities paired with professional phone etiquette and communication skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools
- Ability to operate multi-line phone systems efficiently and handle high-volume call traffic
- Bilingual capabilities are highly desirable to assist diverse client needs effectively
- Experience with clerical tasks such as proofreading, filing, and document management
- Familiarity with QuickBooks or bookkeeping software is a plus for handling basic financial transactions
- Strong time management skills with the ability to prioritize tasks in a fast-paced environment
- Previous experience as a dental or medical receptionist or personal assistant is advantageous for understanding specialized workflows
