Job Summary
We are seeking a detail‑oriented, organized, and reliable Accounting Associate to support daily financial operations across QuickBooks, Salesforce, and investment management platforms. This role is ideal for someone who enjoys structured work, values accuracy, and thrives in a supportive team environment. You will work closely with the Accounting Manager and CFO to ensure timely billing, accurate client fund management, and smooth financial workflows.

Key Responsibilities
- Pull vendor bills monthly and monitor the accounting inbox for incoming requests.
- Enter and categorize vendor bills in QuickBooks.
- Maintain organized documentation for AP processing.
- Calculate fee schedules in Excel (AUM fees, Rep Payee fees, Case Management fees, setup fees, etc.).
- Create and send invoices in QuickBooks.
- Run monthly billing in Salesforce and coordinate with case managers as needed.
- Prepare reimbursement invoices for client‑related expenses.
- Upload templates to the investment manager to request client funds.
- Match bank transactions in QuickBooks and follow up on outstanding invoices.
- Prepare summaries of case manager credit card activity (client vs. operating).
- Prepare summaries of staff refunds and operating credit card payments.
- Reconcile credit card transactions monthly.
- Maintain client Unique Asset schedules in Salesforce.
- Assist with closing out pooled client accounts.
- Complete monthly bank reconciliations for all cash and credit card accounts.
- Initiate ACH payments for client reimbursements and disbursements.
- Prepare documentation for quarterly reviews and annual audits.
- Maintain organized digital and physical accounting records.
- Support process improvements in Salesforce and QuickBooks.
- Assist with digitizing paper files, scanning, labeling, and organizing records.
- Provide general administrative support to the Accounting Manager and CFO.
Required Qualifications
- High school diploma or GED.
- Experience with Microsoft Office (Excel, Outlook, Teams).
- Professional office experience.
- Ability to manage confidential information with discretion.
- Strong organizational skills and ability to manage multiple deadlines.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field.
- 2–4 years of accounting, bookkeeping, or financial operations experience.
- Experience with QuickBooks Online (bank feeds, reconciliations, invoicing).
- Experience with Salesforce or similar CRM systems.
- Experience with trust accounting, nonprofit accounting, or fiduciary services.
- Experience working with vulnerable populations or human‑services organizations.
Pay: From $26.40 per hour
