We’re looking for an organized, detail-oriented Office Administrator who enjoys keeping a growing business running smoothly behind the scenes.
What You’ll Do:
The individual in this position will work as the administrative right hand to the owner. This position is focused on administration, bookkeeping, and some marketing initiatives.
Administrative/HR
- Invoicing for both Repaint & New Construction facets of the business
- A/R follow up and collections
- A/P - Entering vendor bills & issuing payments
- Payroll processing using Quickbooks Online Payroll
- Bonus calculations (Monthly & Annually)
- Supplier expense reconciliations
- Employee & vendor Onboarding
- Employee benefits administration (Including health insurance & retirement contributions)
- Data entry, job costing & gross profit tracking
- Manage office supplies, equipment, record-keeping and general office operations
- Classify expenses, allocate project costs, and maintain accurate financial records in Quickbooks Online
- Directly coordinate with third-party bookkeeper, owner and CPA
- As you become established in the role, you'll have opportunities to take on additional responsibilities and support other administrative initiatives across our affiliated companies.
Marketing Initiatives
- Assist with weekly Google Ad budget reviews
- Reddit Ad management
- Create & distribute monthly newsletter and customer email campaigns using Mailchimp
- Marketing material orders as needed
- Customer appreciation & referral program management
- Internal and community event support
Requirements:
- Thorough knowledge and experience with Quickbooks Online
- Experience with running or overseeing payroll (Quickbooks Online Payroll Experience preferred but not required)
- Experience with Microsoft Office and Google Suite applications
- Experience with Canva & Mailchimp (Preferred but not required)
- Comfortable working with numbers and financial data
- Highly organized with exceptional attention to detail
- Strong communication skills
- Positive attitude and willingness to learn
