About the Position
Goodwin Living seeks a full time (40 hours) Administrative Assistant who combines project coordination skills with excellent communication and attention to detail. Our growing organization is leading the field of senior living and healthcare services as we innovate and redefine aging. Our Home Office team is at the heart of that work and growth, leading the organization’s strategic growth initiatives and overall management of operations.
This in person position is a key member of the Home Office Administration team, working closely with the Director of Home Office Administration to support the overall success of the senior leadership of the organization.
Job Duties:
- Provide administrative support to multiple senior officers of the organization, including booking meetings, processing invoices, expense reports, database management and preparing for business meetings that support organizational business strategy and advancement. Meeting preparation includes coordinating schedules, arranging logistics and catering.
- Monitor and respond to general inquiries from the Goodwin Living website.
- Coordinate order and delivery of corporate gifts for team members, board members, and colleagues.
- Corporate sponsorship processing and coordination of benefits, including managing invoices and sponsorship levels, attendance of events, calendaring of events for attendees.
- Corporate event registration, including managing RSVPs, attendance, calendaring, and invoicing.
- Corporate event planning, including planning, leading and executing on events.
- Conducting routine office maintenance and organizational tasks.
- Other duties as assigned. The Home Office is a dynamic environment and as new projects and priorities are introduced, the administrative team must be responsive to the needs of the team and the organization.
Qualifications:
- Equivalent work experience or 1-2 years of project coordination, event management or related experience.
- Experience with digital platforms and Microsoft Office
- Demonstrated ability to manage multiple projects simultaneously and pivot when needed
- Strong writing/editing skills; ability to gather and synthesize information for delivery via multiple digital channels.
Desired Skills
- Proactive problem solver with excellent analytical/organizational skills and strong attention to detail.
- Ability to work collaboratively across departments to achieve optimal outcomes and a customer service mindset for work with internal client departments.
- Proficiency in Microsoft Word, Excel, Teams, Co-Pilot and PowerPoint
- Ability to work well under pressure and manage time effectively in a remote environment
- Ability to take initiative, think outside-the-box and communicate ideas
- Ability to work independently and/or in a team
- Interest or experience working with older adults and/or in healthcare.
