Job Summary
We are seeking an energetic and detail-oriented Medical Office Manager to lead the daily operations of a busy healthcare facility. This pivotal role involves overseeing administrative functions, managing staff, ensuring compliance with healthcare regulations, and maintaining efficient clinic workflows. Duties
- Supervise and coordinate the activities of medical administrative support staff, including receptionists, billing specialists, and clinical assistants
- Oversee fiscal management tasks such as budgeting, financial reporting, and expense control to ensure the clinic’s financial health
- Manage medical records using EMR (Electronic Medical Records) and EHR (Electronic Health Records) systems like eClinicalWorks, Epic, Dentrix, or Eaglesoft
- Ensure compliance with HIPAA regulations and maintain patient confidentiality at all times
- Oversee staffing schedules, human resources functions, and training programs to optimize team performance
- Monitor clinic operations related to medical management, including patient flow, appointment scheduling, and clinical workflows
- Collaborate with healthcare providers on practice management strategies to improve patient care delivery and operational efficiency
- Implement policies for medical administrative support tasks such as billing, coding, insurance claims processing, and managed care coordination
- Maintain knowledge of medical terminology, medical records management, and relevant healthcare regulations including JCAHO standards
- Facilitate communication between clinical staff, patients, insurance companies, and external vendors to ensure seamless service delivery
Qualifications
- Proven experience in medical office management or healthcare administration with a strong understanding of clinic operations
- Demonstrated supervisory experience leading administrative or clinical teams in a healthcare setting
- Proficiency in EMR/EHR systems such as eClinicalWorks, Epic, Dentrix or Eaglesoft is required
- Strong fiscal management skills including budgeting, financial reporting, and resource allocation
- Knowledge of HIPAA compliance standards and medical records management practices
- Excellent organizational skills with the ability to multitask in a fast-paced environment
- Familiarity with medical terminology and healthcare regulations such as JCAHO standards and managed care protocols
- Experience with dental office or acute care settings is highly desirable; veterinary or hospital experience is a plus
- Effective communication skills to liaise with staff, patients, insurance providers and external partners effectively
