Are you warm, organized, detail-oriented, and comfortable being the first voice someone hears when they contact a law firm? We’re looking for a Client Intake Coordinator to join our Jacksonville office and help us create a calm, professional, and welcoming first experience for prospective new clients.
This role is focused on new client intake — answering inbound calls, gathering key information, helping prospective clients feel heard and respected, and making sure intake details are accurately recorded for our legal team. Prior law firm experience is not required. We will train the right person on our intake process, the questions to ask, and how to document information clearly.
What you’ll do:
- Answer inbound calls from prospective new clients in a warm, professional manner
- Gather and document intake information accurately and thoroughly
- Help prospective clients feel heard, respected, and clearly guided from their first contact with the firm
- Perform follow-up calls and routine communications related to new client inquiries
- Use an Apple iMac, spreadsheets, and other software tools to stay organized and efficient
- Coordinate with attorneys and team members so intake information is complete and easy to review
- Maintain a professional reception-style presence for occasional visitors to the office
- Support the team with administrative tasks connected to intake, scheduling, and communications
- Optional: Contribute to projects within our new Arbitration Tribunal sister company — a chance to experience a start-up-style environment
You’ll be part of the team that shapes first impressions. The right person will combine a friendly phone presence with strong attention to detail, good judgment, and the ability to keep information organized in a professional law office setting.
