We are a licensed Residential Care Facility for the Elderly (RCFE) providing a safe, supportive, and welcoming home for our residents.
We are looking for an experienced, dependable, and highly organized Front Desk & Administrative Coordinatorwho can become an important part of our facility's day-to-day operations.
This is not a traditional receptionist position.
While this position manages our front desk, we are looking for someone who can also serve as a key administrative support person to the Facility Administrator. The right candidate will be comfortable communicating with residents, families, staff, vendors, healthcare professionals, licensing representatives, and other outside agencies while helping ensure the facility operates smoothly throughout the day.
What You'll Do
- Manage the front desk and serve as a professional first point of contact for residents, families, visitors, vendors, and outside agencies.
- Answer incoming calls, determine the nature and urgency of the call, provide appropriate assistance, take detailed messages, and route matters to the correct person.
- Assist the Facility Administrator with daily administrative and operational responsibilities.
- Help coordinate communication and follow-up between the Administrator, caregivers, medication staff, kitchen, housekeeping, maintenance, and other departments.
- Communicate professionally with families regarding routine questions and appropriately escalate concerns to management.
- Receive and appropriately direct calls or inquiries from licensing representatives, government agencies, healthcare providers, pharmacies, home health agencies, and other professional organizations.
- Maintain awareness of activity throughout the facility and communicate concerns to the appropriate staff or supervisor.
- Assist residents who approach the front desk with questions or requests and coordinate with caregivers when assistance is needed.
- Follow up when residents miss meals, scheduled activities, appointments, or other expected routines when appropriate.
- Maintain visitor and resident sign-in/sign-out records and other front-desk documentation.
- Assist with administrative paperwork, filing, records, phone logs, correspondence, and general office organization.
- Help ensure important messages, incidents, requests, and follow-up items do not fall through the cracks.
- Recognize unusual situations, resident concerns, safety issues, or emergencies and promptly involve the appropriate staff or management.
- Help maintain organization and continuity of daily facility operations when the Administrator is away from the building.
- Take initiative and assist with additional administrative or operational needs as they arise.
Who We're Looking For
We are looking for someone who is more than a receptionist.
The ideal candidate is someone who takes ownership of their work, notices when something needs attention, communicates effectively, and follows through without needing constant supervision.
You should be comfortable working in an environment where residents, families, employees, and outside professionals may all need your assistance at the same time.
Strong candidates will be:

- Professional and confident on the phone and in person.
- Comfortable communicating with seniors, families, employees, management, and outside agencies.
- Able to prioritize multiple requests and determine what requires immediate attention.
- Comfortable taking initiative and solving routine problems independently.
- Detail-oriented and good at documenting information and following up.
- Comfortable using computers, email, Microsoft Office or similar programs, and basic office equipment.
- Calm and professional when handling complaints, difficult conversations, or unexpected situations.
- Someone who enjoys being involved in the day-to-day operations of a facility rather than simply sitting at a reception desk.
Pay: $20.50 - $21.50 per hour
