Kjar, McKenna & Stockalper, LLP, a South Bay medical malpractice insurance defense firm, is seeking a highly organized and adaptable Floater Legal Assistant to support multiple attorneys and legal teams across the Firm. This position is ideal for a litigation legal assistant who thrives in a fast-paced environment, enjoys variety in their workload, and can quickly adjust to changing priorities and team needs.
The Floater Legal Assistant serves as a critical resource by providing litigation and administrative support where needed, assisting with workload balancing, vacation coverage, medical leave coverage, new file assignments, and special projects. The ideal candidate is proactive, detail-oriented, and capable of seamlessly integrating into different practice groups while maintaining a high level of professionalism and client service.
Key Responsibilities
- Provide litigation support to attorneys, paralegals, and legal assistants across multiple practice groups
- Assist with coverage for legal assistants during vacations, leaves of absence, and high-volume periods
- Manage attorney calendars, schedule depositions, hearings, mediations, and meetings
- Prepare, revise, proofread, and format legal documents and correspondence
- File pleadings and legal documents in California state and federal courts
- Coordinate service of process and document service
- Open new files and maintain electronic and physical case files
- Assist with discovery, subpoenas, and trial preparation
- Communicate professionally with clients, insurance carriers, experts, vendors, opposing counsel, and court personnel
- Monitor deadlines and ensure compliance with court rules and firm procedures
- Support special projects and administrative initiatives as assigned
Skills & Qualifications
- Minimum of 3 years of litigation legal assistant experience, preferably in insurance defense
- Strong knowledge of California state and federal court procedures
- Experience with e-filing in California courts
- Exceptional organizational and time management skills
- Ability to prioritize and manage multiple assignments simultaneously
- Strong attention to detail and follow-through
- Excellent written and verbal communication skills
- Proficiency in Microsoft Word, Outlook, Excel, and Adobe Acrobat
- Experience with ProLaw or similar case management software preferred
- Ability to work independently and collaboratively in a team environment
- Professional demeanor and strong client-service mindset
