Premier Chimney and Roofing is hiring a highly organized and customer-focused Office Administrator to help manage daily scheduling, customer communication, invoicing, repair coordination, and technician support.
This is a key office position for someone who can stay calm under pressure, manage many moving parts at once, and provide outstanding service to customers even when the schedule gets busy and hectic. The right person will be detail-oriented, task-driven, dependable, and comfortable communicating with both customers and field technicians throughout the day.
Position Overview:
The Office Administrator will help keep our daily operations running smoothly by scheduling new appointments, coordinating repairs for existing clients, sending invoices, following up with customers, and helping manage technician routes and schedule changes.
This role requires strong communication skills, excellent attention to detail, and the ability to stay organized while handling phone calls, messages, customer questions, schedule adjustments, and job updates throughout the workday.
Responsibilities:
- Answer incoming calls, messages, and customer inquiries professionally
- Schedule new service appointments for chimney, fireplace, and repair customers
- Schedule repair work for existing clients and approved estimates
- Coordinate technician routes, daily schedules, and schedule changes
- Communicate job updates, timing changes, and repair logistics with customers
- Follow up with customers regularly regarding appointments, estimates, invoices, and next steps
- Send invoices and assist with payment follow-up
- Help manage customer records, appointment notes, job details, and scheduling information
- Coordinate with technicians and management regarding parts, job scope, repair logistics, and customer expectations
- Monitor open tasks and make sure follow-ups are completed on time
- Provide friendly, professional customer service even during high-volume or stressful periods
- Help keep the office workflow organized, accurate, and efficient
Requirements:
- Strong customer service and communication skills
