We're looking for an experienced HVAC Dispatcher / Customer Success Coordinator to become the voice of our company. This role is ideal for someone who has worked in the HVAC industry, understands service operations, and knows how to turn incoming leads into scheduled appointments through exceptional communication and follow-through.
This is more than dispatching technicians—it's about creating an outstanding customer experience from the first phone call until the job is complete.
This position may be remote for the right candidate, with occasional in-person meetings as needed.
What You'll Do
- Answer inbound phone calls with professionalism and enthusiasm
- Respond quickly to customer emails and online inquiries
- Qualify incoming leads and schedule service appointments
- Manage manufacturer warranty leads and warranty claims
- Coordinate technician schedules for maximum efficiency
- Follow up with unsold estimates and open opportunities
- Confirm appointments and keep customers informed throughout the process
- Order materials and coordinate with vendors when needed
- Process warranty registrations and reimbursement paperwork
- Assist with permits and administrative tasks
- Maintain accurate customer information in Housecall Pro
- Help improve customer satisfaction and online reviews
- Support the office team with day-to-day operations
What We're Looking For
- Previous HVAC dispatching or service coordination experience required
- Excellent phone presence and communication skills
- Outstanding written communication and email etiquette
- Experience handling warranty programs and manufacturer claims preferred
- Strong organizational and multitasking skills
- Comfortable using CRM and dispatch software (Housecall Pro experience is a plus)
- Ability to remain calm in a fast-paced environment
- Self-motivated and able to work independently in a remote environment
- Detail-oriented with excellent follow-through
Compensation
Base + Commission + Bonus

Pay: $40,000.00 - $60,000.00 per year
