Job Summary
This is a part-time, on-site Assistant role located in the Greater Houston (Westchase) area. The Assistant will handle phone calls, scheduling and confirming appointments, and greeting clients in a professional and welcoming manner. Daily tasks include organizing client files, managing correspondence, and assisting with document preparation, scanning, and data entry. The role may also involve helping coordinate in-person and virtual consultations, tracking deadlines, and performing general office duties. Your energetic approach and organizational skills will help facilitate legal research, document preparation, and client communication, contributing to the success of our legal operations. Duties
- Manage legal case files using document management systems like Filevine or Clio; ensure all files are organized, up-to-date, and easily accessible for team members.
- Draft, review, proofread, and finalize documents and correspondence with precision and attention to detail.
- Conduct thorough document review and data entry to support and maintain accurate records of case activities.
- Perform administrative duties such as filing documents electronically or physically, managing phone inquiries with professional etiquette, and providing executive administrative support as needed.
- Conduct intake interviews with clients or witnesses to gather pertinent information for ongoing cases while maintaining confidentiality and professionalism.
Skills
- Strong organizational and time-management abilities, with attention to detail and the capacity to handle multiple tasks simultaneously and efficiently.
- Ability to prioritize tasks efficiently in a fast paced environment.
- Familiarity with clerical tasks such as filing, data entry, transcription, document management.
- Exceptional phone etiquette coupled with professional demeanor in client interactions.
- Strong verbal communication skills in English and Spanish.
- Excellent writing skills for drafting legal documents and correspondence; meticulous proofreading abilities; adept at document review.
- Experience with legal case management software including Filevine or Clio a plus but not required
