Positive Influence Family Outreach Ministry is a Christian faith-based counseling and relationship education organization committed to transforming lives, marriages, families, and communities through biblical truth and evidence-based mental health practices. This is more than an administrative position. We are looking for someone who can think like an owner, anticipate needs, solve problems proactively, and help expand our impact.
Position Summary
The Executive Assistant will provide executive, administrative, marketing, and client support while serving as the primary coordinator for office operations. The ideal candidate has previous experience working in a mental health or therapy office and understands insurance verification, client scheduling, and professional office administration.
This individual must be passionate about serving people with excellence while helping grow a thriving Christian counseling practice.
ResponsibilitiesExecutive Support
- Manage executive calendar and scheduling
- Coordinate meetings, speaking engagements, and ministry events
- Screen calls and emails professionally
- Prepare reports, presentations, and correspondence
- Organize projects and follow up on deadlines
Therapy Office Administration
- Schedule new and existing clients
- Answer inquiries from prospective clients
- Maintain confidentiality and HIPAA compliance
- Verify insurance eligibility and benefits
- Communicate with insurance companies regarding claims and authorizations
- Coordinate intake paperwork and documentation
- Maintain accurate client records
Client Relations
- Provide exceptional customer service
- Follow up with prospective clients
- Coordinate appointments and reminders
- Assist with referrals and community partnerships
- Help improve the overall client experience
Marketing & Social Media
- Manage Facebook, Instagram, LinkedIn, YouTube, and other social media platforms
- Create and schedule engaging posts
- Promote workshops, therapy groups, conferences, and ministry events
- Assist with email marketing campaigns
- Help grow the organization's online presence
- Monitor engagement and recommend marketing strategies
Operations
- Help improve office systems and workflows
- Assist with bookkeeping coordination and vendor communication
- Maintain office supplies and organization
- Coordinate with contractors and team members
- Support special projects assigned by the Executive Director
QualificationsRequired
- Active Christian committed to living according to biblical principles
- Bachelor's degree (Psychology, Counseling, Social Work, Business Administration, Healthcare Administration, or related field preferred)
- Experience working in a mental health, counseling, psychology, or therapy practice
- Knowledge of insurance verification and medical office procedures
- Excellent written and verbal communication skills
- Exceptional organizational and time management skills
- Strong attention to detail
- Ability to maintain confidentiality
- Excellent computer skills
- Experience using Microsoft Office and Google Workspace
- Comfortable learning Electronic Health Record (EHR) systems
Preferred
- Experience with SimplePractice, TherapyNotes, or similar EHR systems
- Experience with insurance billing processes
- Graphic design experience (Canva preferred)
- Video editing experience
- Email marketing experience
- Event planning experience
- Customer relationship management (CRM) experience

Compensation
Competitive hourly pay based on education and experience.

Pay: $8.00 - $15.00 per hour
