About CRS Builders
CRS Builders Inc is a licensed general contractor serving San Diego County. We specialize in ADUs, JADUs, garage conversions, home additions, custom homes, and larger residential remodeling projects.
We are looking for a highly organized, responsive Client Operations Coordinator to help customers, leads, appointments, project information, and internal handoffs move forward without dropped details. This person will serve as the communication and coordination hub connecting customers, project managers, field personnel, subcontractors, administration, and company leadership.
This is a strong fit for someone who enjoys helping people, follows through consistently, keeps accurate records, and can calmly prioritize changing needs in a fast-moving construction environment.
What You Will Do
- Respond promptly to new leads by phone and document each contact attempt, outcome, and next step information.
- Review new inquiries for complete contact, property, project, plan, and scheduling
- Coordinate Zoom consultations and on-site appointments.
- Assign and dispatch project managers for routine appointments using established company criteria, escalating exceptions when needed.
- Prepare and route lead information so project managers are ready for customer appointments.
- Follow up after consultations and site visits to keep scheduling, proposal, and customer next steps moving.
- Monitor customer calls, texts, emails, and CRM conversations; respond directly when appropriate or route questions to the correct team member.
- Maintain accurate stages, statuses, notes, owners, due dates, and next actions in GoHighLevel and JobTread.
- Check that expected customer follow-up workflows have run and use approved manual follow-up when an exception occurs.
- Help coordinate customer-facing schedule updates, weekly project communications, appointments, and document requests.
- Route plans, permits, selections, photos, field updates, and subcontractor information to the correct JobTread project record or responsible team member.
- Support billing handoffs by routing invoice backup, payment questions, and blockers to the appropriate finance or leadership contact.
- Review daily operational exceptions and escalate urgent customer, scheduling, proposal, payment, or system issues before closeout.
- Keep leadership informed about stalled leads, overdue handoffs, unresolved customer needs, and recurring process problems.
What Success Looks Like
- New leads receive prompt attention and have a documented next action.
- Appointments are complete, assigned, prepared, and dispatched on time.
- Customer messages are acknowledged or routed by the end of the business day.
- Active leads and projects have an accurate owner, status, next action, and follow-up date.
- Proposal follow-ups and customer workflows occur without duplicate or missed messages.
- Important plans, photos, notes, and updates are saved in the correct system rather than left in text or email threads.Urgent exceptions are escalated promptly instead of silently carrying over.
- Customers experience organized, professional, and consistent communication.
Qualifications
- Strong phone, email, text, and customer-service communication skills.
- Excellent organization, follow-through, and attention to detail.
- Ability to manage multiple priorities while responding quickly to time-sensitive leads and customer needs.
- Sound judgment about when to act, when to route a request, and when to escalate.
- Confidence learning and using CRM, scheduling, project-management, and cloud document systems.
- Ability to maintain accurate notes, statuses, tasks, and follow-up dates.
- Professional, calm, and helpful communication when a customer or schedule is under pressure.
- Ability to protect confidential customer and project information.
- Reliable availability during the standard Monday–Friday, 8:00 AM–4:00 PM coverage window.
Preferred Experience
- Experience in client coordination, customer service, office administration, scheduling, dispatch, sales support, or project coordination.
- Experience with GoHighLevel, JobTread, or similar CRM/project-management software.
- Experience supporting a construction, home-services, design-build, real-estate, or professional-services team.
- Familiarity with residential construction workflows is helpful but not required; this role coordinates information and communication rather than making technical construction decisions.

Pay: $23.00 - $28.00 per hour
