Job Summary
G&G Distributors is seeking a reliable and detail-oriented Part-Time Accounting & Payroll Coordinator to assist with the day-to-day accounting functions of our office.
This position is ideal for someone with experience in payroll, accounts payable, accounts receivable, and QuickBooks who is looking for a consistent part-time position in a small-business environment.
The Accounting & Payroll Coordinator will work closely with management and our outside accountant to ensure payroll and accounting records are accurate, organized, and up to date.
Responsibilities
Payroll
- Review employee timecards for accuracy prior to payroll processing
- Identify missing punches, overtime, time-off entries, and other discrepancies
- Process biweekly payroll accurately and on time
- Maintain organized payroll records
- Assist with routine employee payroll questions
- Maintain confidentiality of employee and payroll information
Accounts Payable
- Receive, review, and enter vendor invoices into QuickBooks
- Verify invoice amounts and supporting documentation
- Track invoice due dates and ensure bills are processed on time
- Prepare vendor payments for management approval
- Reconcile vendor statements and investigate discrepancies
- Maintain organized vendor records, invoices, and W-9s
- Communicate with vendors regarding invoice or payment questions when necessary
Accounts Receivable
- Maintain and monitor company house accounts
- Record customer invoices, charges, credits, and payments
- Monitor outstanding balances
- Prepare and send customer statements as needed
- Follow up on past-due balances
- Ensure customer account balances are accurately reflected in QuickBooks
General Accounting & Office Support
- Assist with basic QuickBooks accounting entries
- Assist with bank and credit card reconciliations
- Maintain organized accounting and financial records
- Assist with gathering documents for the company's accountant, year-end reporting, and audits
- Perform other accounting and administrative duties as needed
Qualifications
- Previous experience with payroll, accounts payable, accounts receivable, bookkeeping, or a similar accounting support role preferred
- Experience with QuickBooks preferred
- Comfortable working with Microsoft Excel
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Ability to handle confidential payroll and financial information
- Ability to work independently and follow established procedures
- Strong written and verbal communication skills
Accounting degree or CPA certification is not required. Relevant hands-on experience is valued.
Schedule
- Part-time M-F
- Approximately 15–20 hours per week
- Weekday schedule
- In-person at our Saddle Brook, NJ location
- Schedule can be discussed based on availability
Pay: $23.00 - $27.00 per hour
