Job Summary
We are seeking a dynamic and organized Dental Front Office Coordinator to join our vibrant dental practice. In this essential role, you will be the first point of contact for patients, providing exceptional customer service while managing administrative operations seamlessly. Your energetic approach will ensure smooth clinic flow, accurate documentation, and efficient handling of patient interactions. This position offers an exciting opportunity to contribute to a positive patient experience and support the clinical team with vital administrative functions.
Purpose: Own the front-office patient experience, schedule, insurance workflow, billing follow-up, and day-to-day administrative execution so the clinical team can focus on patient care and the practice can collect accurately and timely.
· Manage patient scheduling, confirmations, appointment reminders, recalls, cancellations, and no-show follow-up.
· Use Dentrix for scheduling, patient records, insurance information, ledgers, treatment plans, claims, reports, and communications.
· Verify insurance eligibility, benefits, deductibles, frequencies, maximums, waiting periods, and plan limitations before appointments.
· Prepare and submit claims, attach required documentation, follow up on unpaid claims, correct denials, and maintain insurance AR discipline.
· Discuss treatment estimates, patient portions, payment arrangements, and financial policies professionally and accurately.
· Handle patient intake, registration, updates, consent paperwork routing, and HIPAA-compliant communications.
· Support daily closeout, payment posting, deposits, adjustments, refunds, and cash/credit card controls within authority limits.
· Maintain recall lists, unscheduled treatment lists, continuing care follow-up, and new-patient conversion tracking.
· Coordinate with the clinical team so schedule flow, provider time, lab cases, and procedure setup are aligned.
· Maintain confidentiality, HIPAA compliance, professional communication, and positive patient experience.
Required qualifications:
· Dental front office experience strongly preferred.
· Dentrix or comparable dental practice-management system experience preferred.
· Insurance billing, eligibility verification, claims follow-up, and patient ledger experience preferred.
· Strong written and verbal communication skills.
· Ability to handle confidential patient and financial information with discretion.
· Reliable attendance, attention to detail, and ability to manage competing priorities.
· RDA certification or prior clinical dental background preferred but not required if front-office/revenue-cycle experience is strong.
90-day success measures:
· Schedule is accurate, confirmed, and filled with minimal avoidable gaps.
· Insurance verification is completed before appointments and documented consistently.
· Claims are submitted timely and AR follow-up cadence is in place.
· Patient financial conversations are professional, accurate, and consistent with policy.
· Daily closeout and payment posting are accurate.
· Recall and unscheduled treatment lists are actively worked each week.
· Dentrix data entry is clean enough to support reliable reporting.
