Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Answer and direct multi-line phone systems with professionalism and courtesy
- Manage appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools
- Handle data entry, filing, and maintain accurate records for office documentation
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and clear communication
- Assist with clerical duties including proofreading documents, managing correspondence, and supporting administrative projects
Skills
- Proven experience in front desk or office reception roles with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar)
- Familiarity with multi-line phone systems and excellent phone etiquette
- Ability to perform data entry accurately with fast typing skills
- Bilingual abilities are a plus to serve diverse client needs effectively
- Experience with office management tasks such as filing, proofreading, and record keeping
- Knowledge of medical or dental receptionist duties is advantageous but not required
- Strong customer service orientation with the ability to handle inquiries professionally and efficiently
- Administrative experience including calendar management, personal assistant tasks, or bookkeeping is highly valued
