Role Objective
As our PI Case Manager, you'll own the lifecycle of personal injury cases, managing the flow from intake through settlement or litigation handoff. You are the connective tissue between the client, the attorneys, medical providers, and insurance companies. Your job is to keep cases progressing on timeline, ensure nothing stalls, and maintain the level of communication and organization that allows attorneys to focus on strategy and results. This role is ideal for someone who thrives on structure, moves fast, and treats every case like it matters, because it does.
Responsibilities
- Manage a full caseload of personal injury files from post-intake through demand, negotiation, and resolution, ensuring consistent forward movement on every case
- Serve as the primary point of contact for clients throughout the life of their case, providing regular updates, answering questions, and setting expectations, in English and Spanish
- Order, track, and organize medical records, billing statements, radiology films, and provider liens to build complete and demand-ready case files
- Monitor treatment status and coordinate with medical providers to ensure clients are completing care and all documentation is current
- Track and enforce internal deadlines including statute dates, demand timelines, discovery obligations, and settlement follow-ups using case management software
- Prepare case summaries, demand packages, and settlement breakdowns for attorney review
- Communicate with insurance adjusters on routine matters including claim status, document submissions, and scheduling
- Identify and resolve case bottlenecks, missing records, lapsed treatment, unresponsive providers, stalled negotiations, before they become problems
- Maintain accurate, real-time case data in the firm's case management system, ensuring notes, contacts, documents, and status fields are always current
- Collaborate with attorneys, legal assistants, and intake staff to ensure smooth handoffs and consistent client experience across the team
Requirements
- 2+ years of experience as a case manager, senior legal assistant, or pre-litigation coordinator in a personal injury law firm
- Bilingual English/Spanish required, fluent written and verbal communication to manage client relationships and provider coordination
- Strong working knowledge of the PI case lifecycle including treatment management, medical record collection, demand preparation, and lien resolution
- Proficiency with case management software (e.g., Filevine, SmartAdvocate, CASEpeer, Litify, or similar)
- Demonstrated ability to manage a high-volume caseload, 80+ files, without sacrificing organization or client communication
- Familiarity with medical terminology, common injury types, and treatment timelines relevant to personal injury claims
- Proactive communicator who follows up without being told and escalates issues before they stall a case
- Strong attention to detail in document review, deadline tracking, and data entry
- Professional and empathetic client-facing demeanor, you understand these clients are dealing with pain, stress, and uncertainty
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook
Pay: $65,000.00 - $75,000.00 per year
