Responsibilities
Function: The Accounting Clerk will perform a variety of clerical and organizational duties to support the Bookkeeper and Payroll Clerk in functions of the finance office.
Duties and Responsibilities:
1. Call each store to get the daily sales, volunteer and production numbers. Enter these into management spreadsheets and distribute.
2. Review daily sales sheet for accuracy, gaps in Z totals (indicate on store voucher the reason opening Z differs from prior days closing Z), completeness including listing of credit card slips and batch summary, void slips, exempt sales, signatures, etc. Validated deposit ticket MUST be attached. Enter the daily sales sheet in the Store database.
3. Do invoices for welfare sales and mail. Follow up to collect on outstanding invoices. Place copy of invoice in open invoice folder. When payment of welfare sales invoice is received, mark invoice paid, move copy of invoice from open invoice folder to paid invoice folder noting receipt number for payment, enter new store voucher in store program (exclude from accounting), and enter payment information onto the Deposit Information Sheet.
4. Count receipts and deposits of all non-store income including but not limited to meeting collections, restricted donations, warehouse sales, key deposits, room and board payments, etc. Froward Deposit Information Sheet to Consolidated Bookkeeper.
5. Act as custodian for beneficiary tokens. Balancing token box, replenishing needed tokens, scan new man and prize token sheets and send them to the Consolidated Bookkeeper.
6. Enter bale production summaries into the rag program. Enter rag shipping memo sales into the rag program, verifying all shipping information on memo and complete invoice.
7. Scan and send invoices to Consolidated Bookkeeper twice a week. Attach vouchers to check stubs and file. Input STATS information for monthly report. Secure copies of missing invoices.
8. Submit forms for permits, complete credit applications as needed, etc. as approved by Administrator. Provide tax exempt forms to vendors.
9. Maintain and secure vehicles titles, registrations, etc.
10. Process gratuity reports; print gratuity receipts and prepare funds for distribution. Follow up with Head Counselor to secure all signed gratuity receipts. If a gratuity is returned, the gratuity receipt and the cash receipt are included with the signed receipts. File receipts in corresponding check jacket with gratuity report and adding machine tape. Maintain BITSPro database: work therapy assignments, Phase Changes.
11. Act as secondary petty cash fund custodian. Review vouchers for completeness, supporting documentation adding machine tapes, signatures and approval, etc. before releasing cash.
12. Responsible for distribution of daily mail. Maintain postage meter and process daily outgoing mail.
13. Maintain stock of store: no sale, void slips and exempt sales forms,Program Department (Phase Up certificates, graduation certificates, etc.), and update as necessary.
14. Produce store name badges as needed.
15. Type and mail thank you letters to individuals and companies that make donations.
16. Order office supplies, purchase order as necessary and approved by Administrator.
17. Attend training conferences as requested by administrator and/or Command Headquarters.
18. Act as backup to the Payroll Clerk.
19. This position will support the work therapy program component of The Salvation Army Adult Rehabilitation Centers by providing to beneficiaries; an example of professional conduct, work habits, and supervision (as directed by Supervisor).
20. Other duties as are assigned by immediate supervisor and/or Administrator.
Qualifications
The ideal candidate will have a High School diploma or equivalent and have two years’ experience in an office environment, be proficient in Microsoft Office, and have strong attention to detail.

Pay: $17.50 - $18.50 per hour
Expected hours: 25.0 – 28.0 per week
