POSITION SUMMARY
The Private Events Manager is responsible for driving the growth of Urban Hill’s private events and catering business, while delivering an exceptional experience for every client and guest. This position owns the event process from outbound sales or initial inquiry through planning, execution, final payment and post-event follow up. Growing Urban Hill’s recurring group of Private Dining clients is key to success.
The Private Events Manager actively develops new business through prospecting, relationship building, networking, community outreach, and cultivating repeat and referral business. They work closely with clients to understand their vision and create thoughtful, customized event experiences that reflect the Urban Hill brand.
This position partners closely with the General Manager, culinary team, front-of-house management, and external vendors to ensure each event is thoughtfully planned, financially sound, and executed to the highest standards. The Private Events Manager is expected to take ownership of their business, communicate clearly and proactively, and contribute to the continued growth and success of Urban Hill.
Flexibility: Your schedule may vary (days, nights, weekends, holidays) based on any number of factors. In general, you can anticipate working 45 to 50 hours a week.
RESPONSIBILITIES
- Sales & Business Development
- Develop and maintain a strong client base for Urban Hill through proactive prospecting, cold calling, networking, community outreach, referrals, and repeat business.
- Respond to all event inquiries promptly and professionally, with a goal of responding within 24 business hours.
- Manage the sales process from initial outreach or inquiry through proposal, contract, deposit, event planning, final payment, and post-event follow-up.
- Develop customized proposals, event menus, pricing, contracts, and BEOs that blends the client's desires with Urban Hill's unique offerings.
- Consistently work toward established private event and catering sales goals.
- Identify opportunities to increase revenue through additional services, menu enhancements, rentals, beverages, and other event offerings.
- Build and maintain relationships with local businesses, hotels, meeting planners, destination management companies, community organizations, and other potential referral partners.
- Conduct site visits, client meetings, tastings, networking events, and other sales activities as needed.
- Maintain accurate and up-to-date client and event information within the company's designated systems.
- Client & Event Planning
- Serve as the primary point of contact for clients throughout the planning process and provide timely, detailed, and proactive communication.
- Lead BEO meetings with onsite culinary and front of house teams.
- Develop and manage detailed event timelines, programs, task lists, BEOs, and other event documentation.
- Coordinate event details, including menus, floor plans, rentals, linens, décor, audio/visual needs, entertainment, transportation, and outside vendors as applicable.
- Collaborate with the culinary team and General Manager to develop menus and event experiences that exceed client expectations while supporting operational and financial goals.
- Coordinate and attend tastings, site visits, and other client planning appointments as needed.
- Ensure all event details are finalized and communicated to the appropriate teams at least two weeks prior to the event.
- Develop and maintain relationships with preferred vendors and identify new vendors as needed.
- Financial & Operational Management
- Coordinate and facilitate all financial transactions from initial deposit through final payment.
- Ensure contracts, deposits, minimums, gratuity, fees, and final billing are accurate and properly documented.

- Possess at least a High School Diploma
- Must be at least 21 years of age
- Must have extensive knowledge of event management
- Possess basic math skills and have the ability to handle money and operate a point-of-sale system
- Knowledge of relevant health & safety regulations & procedures
- 2+ years of event coordination
- 1+ years of experience working in restaurants
- Competency in Excel, Word, Powerpoint, and other event programs
PHYSICAL REQUIREMENTS
- Ability to stand for extended periods of time
- Ability to bend, lift, push & carry heavy objects
- Ability to carry 50 pounds
