The mission of Painted Brain is to create lasting community-based solutions to mental health challenges and the impact of social injustice through arts, advocacy, and enterprise. Painted Brain is an innovative peer-run mental health arts and tech forward organization that uses a peer model focus on recovery. Painted Brain defines a peer as any person with lived mental health challenges and or trauma including but not limited to: social injustice, interpersonal violence, and/or societal exclusion. Our primary focus over the years has always been using the arts to help people learn to interact socially and effectively while experiencing the impacts of trauma, psychosis, depression, autism, anxiety, and other unwanted mental experiences.
Position Summary
The EHR System Analyst manages the administration, enhancement, and technical maintenance of the Exym platform while providing continuous user support. Acting as a central link across clinical, financial, quality improvement, and IT departments, this role ensures the EHR infrastructure aligns with documentation requirements, regulatory standards, and operational workflows. The Analyst evaluates business procedures, configures system upgrades, resolves technical issues, and generates critical reports. Additionally, the position leads new implementations and staff training initiatives to optimize organizational efficiency, ensure high data quality, and improve the overall digital environment for users.
Key ResponsibilitiesEHR Administration
- Serve as the primary system administrator for the Exym EHR platform.
- Configure user accounts, permissions, security roles, and system settings.
- Maintain program configurations, templates, forms, assessments, service codes, and documentation workflows.
- Coordinate software updates, enhancements, and testing prior to implementation.
- Monitor overall system performance and recommend improvements.
Workflow Analysis & Optimization
- Evaluate current clinical and administrative workflows to identify process improvements.
- Design and implement efficient electronic workflows that support operational and compliance requirements.
- Collaborate with leadership to develop standardized documentation practices.
- Assist departments with automation of routine tasks within Exym.
Reporting & Data Analytics
- Develop and maintain operational, clinical, and financial reports.
- Generate routine reports for leadership, quality improvement, grants, and contract compliance.
- Monitor data quality and identify documentation deficiencies.
- Assist departments with dashboard development and performance metrics.
System Support & Troubleshooting
- Serve as Tier II support for Exym-related system enhancements.
- Troubleshoot user problems and coordinate with Exym technical support when necessary.
- Document issues, resolutions, and system enhancements.
- Monitor support tickets to ensure timely resolution.
Training & User Support
- Develop training materials, user guides, and standard operating procedures.
- Provide one-on-one coaching for clinicians and administrative staff.
- Promote adoption of best practices across departments.
Compliance & Security
- Ensure EHR workflows comply with HIPAA, 42 CFR Part 2, Medi-Cal, CalAIM, and organizational policies.
- Participate in system audits and quality assurance reviews.
- Monitor documentation compliance and assist with corrective action planning.
- Support accreditation and regulatory audits.
Project Management
- Participate in new program implementations and EHR build-outs.
- Assist with software integrations and third-party applications.
- Coordinate testing for new functionality before deployment.
- Support strategic technology initiatives and special projects.
Qualifications
- Bachelor's degree in Health Information Management, Information Systems, Computer Science, Healthcare Administration, Business Administration, or related field; equivalent experience may be considered.
- Minimum of three (3) years of experience supporting Electronic Health Record systems.
- Experience administering Exym EHR.
- Experience in behavioral health, community mental health, or social service organizations preferred.

- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in the administration of the Exym platform.
- Competency with the Microsoft Office applications.
- Advanced capabilities using Microsoft Excel.
- Familiarity with SQL is strongly preferred.
- Experience utilizing Tableau or Power BI preferred.
- Skill in data analytics and operational reporting.
- Ability to perform business process and workflow mapping.
- Understanding of complex electronic documentation frameworks.
- Strict adherence to HIPAA privacy and security regulations.
Preferred - Non-Essential Qualifications - Knowledge, Skills, and Abilities
- Experience with CalAIM Enhanced Care Management (ECM), Community Supports, or behavioral health programs.
- Knowledge of Medi-Cal documentation requirements.
- Experience with SQL reporting, Power BI, Tableau, or other reporting platforms.
- Experience implementing EHR workflows and system upgrades.
- Project management experience preferred.
Work Environment
- This position requires a mix of remote office work.
- The working conditions for this position are remote.
- Ability to work some evenings and weekends as needed.

- Regular and predictable attendance is required.
Physical Requirements
- Capability to remain seated before a computer for prolonged time frames.
- Adequate vision for tasks requiring focus, such as reading documents, screens, or labels.
- Hearing ability sufficient for understanding verbal communication in person, over the phone, or via video conferencing.
