About the Position
We are looking for a confident, highly organized, and customer-focused Weekend Salon Operations & Client Experience Coordinator.
This person serves as the salon’s weekend “air traffic controller”—monitoring the flow of appointments, helping prevent delays, coordinating with groomers, keeping customers informed, and ensuring the salon operates safely and efficiently.
Although this is not a formal manager position, the Weekend Coordinator is the primary onsite leadership representative on Saturdays and Sundays. The right person will be comfortable speaking up, reinforcing salon procedures, resolving minor customer concerns, and ensuring that no pet leaves without the quality of service expected.
This is more than a receptionist position. It combines client service, scheduling, sales, documentation, quality coordination, and weekend salon leadership.
Key Responsibilities
- Deliver warm, professional customer service in person, by phone, text, and email.
- Answer calls promptly and clearly explain our cage-free grooming model, services, policies, and appointment expectations.
- Manage the grooming schedule throughout the day to maximize groomer capacity, facility utilization, and customer satisfaction.
- Monitor appointment progress, identify delays or workflow concerns, and coordinate adjustments with groomers.
- Check pets in and out while confirming services, grooming instructions, contact information, vaccination records, and required agreements.
- Maintain accurate client and pet records, including service agreements, rabies records, incident documentation, dematting authorizations, ear-plucking waivers, grooming notes, and customer communications.
- Recommend appropriate add-on treatments and retail products that benefit the pet or owner.
- Learn and confidently communicate our 5 Ps: Product, Process, Promotion, Pricing, and Pitch.
- Apply the salon’s pricing model, communicate price adjustments, and help correct pricing errors when needed.
- Coordinate before-and-after photos, rebooking, referral requests, and Google Review invitations.
- Support grooming quality control by helping confirm that services match the client’s request and that concerns are corrected before the pet leaves.
- Address routine customer dissatisfaction professionally and escalate significant matters to management for Monday follow-up.
- Follow pet-safety, sanitation, incident-response, opening, and closing procedures.
- Complete a detailed weekend pass-down report documenting customer issues, operational concerns, incidents, schedule changes, and management follow-up needs.
- Help maintain a clean, organized, and professional salon throughout the day.
- Participate in training and continuous-improvement initiatives.
Our Service Standard
The Weekend Coordinator helps hold the team to one clear standard:
- No pet leaves the salon without the expected level of safety, care, cleanliness, and grooming quality.
- The salon’s quality-control process includes verifying requested services, identifying concerns, completing final checks, communicating findings to clients, documenting grooming notes, and correcting issues before the customer leaves.
Required Qualifications
- High school diploma or GED.
- At least one year of experience in one or more of the following:
- Salon, spa, veterinary, pet-care, hospitality, dental, medical, or service-business reception
- Appointment scheduling or front-desk coordination
- Customer service in a fast-paced environment
- Shift-lead or team-coordination responsibilities
- Must be consistently available to work both Saturday and Sunday.
- Strong phone presence with clear, friendly, and professional communication.
- Experience using scheduling, point-of-sale, customer-record, or appointment-management software.
- Ability to manage several priorities without losing accuracy or customer focus.
- Comfortable recommending services and retail products based on customer needs.
- Able to handle customer concerns calmly without becoming defensive or argumentative.
- Strong attention to detail when entering prices, appointment information, service notes, and pet records.
- Comfortable giving respectful direction and reinforcing procedures with team members.
- Able to write clear, factual, and complete documentation.
- Willing to learn grooming terminology, coat types, service timing, pricing guidelines, and pet-safety procedures.
- Comfortable working around dogs, pet hair, dander, barking, cleaning products, and occasional pet bodily fluids.
- Able to stand, walk, bend, reach, and lift or assist with up to 50 pounds, with or without reasonable accommodation.
- Reliable transportation to our Tempe location.
Preferred Qualifications
- Experience in pet grooming, veterinary care, boarding, daycare, or another pet-service environment.
- Previous shift-lead, coordinator, assistant-manager, or operations experience.
- Experience with Gingr or another pet-service management platform.
- Experience with consultative sales, retail recommendations, or service upgrades.
- Familiarity with vaccination records, customer waivers, incident reports, or regulated client documentation.
A successful Weekend Coordinator:
- Keeps the schedule moving without making customers or groomers feel rushed.
- Notices problems early and takes action before they affect the entire day.
- Sounds genuinely welcoming and confident on the phone.
- Maintains complete and accurate customer and pet records.
- Communicates pricing and service recommendations with clarity and conviction.
- Protects pet safety above schedule or revenue.
- Holds a professional leadership voice while remaining respectful and team-oriented.
- Documents information so management has a clear understanding of the weekend.
- Looks for ways to improve the customer experience and salon operations.
