Medical Biller / Patient Checkout Coordinator – Optometry Office
Position Summary
We are seeking a detail-oriented, customer-focused Medical Biller / Patient Checkout Coordinator to join our optometry practice. This position is responsible for accurate medical billing, insurance claim management, patient checkout, collecting payments, and coordinating eyewear and contact lens orders. The ideal candidate is organized, dependable, and enjoys providing outstanding customer service while ensuring efficient financial operations.
Primary Job Duties
- Submit and process medical insurance claims accurately and promptly.
- Verify insurance eligibility, benefits, and authorizations.
- Review patient accounts for coding and billing accuracy.
- Post insurance payments, patient payments, adjustments, and denials.
- Investigate and resolve claim denials, underpayments, and billing discrepancies.
- Follow up with insurance companies regarding unpaid claims.
- Generate and review patient statements and collect outstanding balances.
- Maintain compliance with HIPAA and insurance regulations.
- Reconcile daily payment collections and prepare end-of-day reports.
- Process patient payments for eye examinations, glasses, contact lenses, and outstanding balances.
- Check out patients following their appointments.
- Explain insurance benefits, copays, deductibles, and patient financial responsibility.
- Coordinate optical purchases, including eyewear and lens orders.
- Process and track contact lens orders and ensure timely patient notification when orders arrive.
- Schedule follow-up appointments as needed.
- Answer patient billing questions in a professional and courteous manner.
- Maintain accurate electronic medical records and patient account information.
- Work collaboratively with providers, technicians, and optical staff to ensure a seamless patient experience.
- Assist with other front office duties as assigned.
Qualifications & Experience
Required
- High school diploma or equivalent.
- Minimum of 2 years of medical billing or healthcare office experience.
- Experience working with electronic health record (EHR) and practice management software.
- Strong computer skills, including Microsoft Office.
- Excellent customer service and communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to handle confidential information with professionalism.
Preferred
- Experience in an optometry or ophthalmology practice.
- Knowledge of vision and medical insurance billing.
- Experience with CPT, ICD-10, and insurance claim processing.
- Understanding of payment collection procedures and daily financial reconciliation.
