Job Description
- The individual in this role provides comprehensive administrative, operational, and project oversight support to the Construction Management team. As a Project Controls Coordinator, they work in close partnership with senior leadership, Project Managers, Design Managers, Project Accounting, and various stakeholders to ensure that project-related data, documentation, financial details, and schedules are managed accurately and communicated effectively.
- This position plays a key role in examining and verifying a wide range of project materials—including approval packages, selection documents, financial summaries, tracking logs, and correspondence—before submission to leadership. The Coordinator ensures that all information is complete, precise, appropriately structured, and aligned with established procedures and project standards.
- The role also involves collaborating with internal teams, external consultants, contractors, and project stakeholders to support communication and day-to-day operations. Responsibilities include maintaining organized records, coordinating meetings, managing calendars, and helping ensure that project milestones and deliverables are achieved within established timelines.
- In addition, the Project Controls Coordinator supports the tracking and maintenance of project budgets, forecasts, financial reports, contracts, and key performance metrics. Working alongside leadership, the individual contributes to monitoring project progress and assists in preparing reports, presentations, and supporting materials for executives and stakeholders involved in commercial construction and capital improvement initiatives.
- A critical aspect of this role is maintaining effective document control processes so that all project files are properly stored, up to date, and easily accessible. The position requires a high level of accuracy, discretion, and sound judgment when handling sensitive documentation and financial data.
- The Coordinator is also involved in reviewing existing processes and administrative workflows to promote consistency, efficiency, and compliance across multiple projects. This role demands strong organizational capabilities, professionalism, and the ability to juggle competing priorities within a fast-paced, large-scale construction environment.
Minimum Qualifications
- An associate degree in Business Administration, Construction Management, Finance, Accounting, Project Management, or a related discipline is required; a bachelor’s degree is considered an advantage.
- At least five (5) years of experience in roles such as project coordination, administrative support, project controls, construction administration, contract management, or a similar field is required.
- Prior exposure to commercial construction projects, capital programs, or construction operations is preferred.
- Experience reviewing and managing project-related materials such as contracts, financial data, budgets, and documentation is advantageous.
- Familiarity with budgeting, forecasting, financial analysis, and project cost reporting is preferred.
- Strong working knowledge of Microsoft Excel, Outlook, Word, and PowerPoint is essential.
- Experience using Oracle or other ERP platforms is a plus.
- Excellent organizational skills, attention to detail, and strong written and verbal communication abilities are required.
- Proven ability to manage confidential information with professionalism and sound decision-making is essential.
