Highway 85 Productions is looking for a highly organized, proactive Warehouse Operations Coordinator to help manage the daily flow of our fast-paced warehouse and production operation.
This is not a traditional warehouse labor position and it is not a warehouse management position. Think of this role as the control tower of the warehouse. You will help build and maintain the daily plan—coordinating schedules, project readiness, incoming and outgoing shipments, rental pulls and returns, staging activity, and communication between our warehouse team and other departments. Our warehouse leads own the execution. You help own the plan.
What You'll Do
- Coordinate the daily warehouse schedule and workflow
- Maintain the warehouse planning calendar and daily priority list
- Review incoming project and warehouse requests for completeness
- Help ensure projects are ready before they reach the warehouse floor
- Coordinate inbound deliveries, outbound shipments, pickups, and returns
- Schedule rental pulls, project staging, packing, and loading activity
- Track projects through Ready / In Progress / Waiting / Blocked / Complete
- Communicate daily priorities and schedule changes to warehouse leads
- Coordinate with Project Management, Account Directors, Production, Graphics, AV, Purchasing, and Logistics
- Receive drivers, vendors, deliveries, and warehouse visitors
- Track deadlines and identify potential scheduling conflicts before they become problems
- Maintain accurate warehouse logs, schedules, paperwork, and documentation
- Assist with labor and trucking schedules
- Monitor warehouse workflow and escalate delays or missing information
- Help track warehouse KPIs including loading times, project readiness, inbound returns, and scheduling performance
- Keep everyone working from the same plan
What We're Looking For
We aren't necessarily looking for someone who has spent 10 years working in a warehouse. We're looking for someone who is exceptionally organized and loves keeping things moving.
You may have experience in:
- Operations coordination
- Scheduling or dispatch
- Logistics
- Construction coordination
- Production planning
- Project coordination
- Warehouse administration
- Transportation
- Event production
- Manufacturing
More important than your exact background is your ability to plan, communicate, follow up, and stay ahead of problems.
You'll Be Great at This Job If You:
- Are extremely organized
- Like schedules, calendars, lists, and planning
- Can manage multiple priorities at the same time
- Communicate clearly and confidently
- Aren't afraid to ask, "Is this actually ready?"
- Notice problems before other people do
- Follow up without needing to be reminded
- Stay calm when schedules change
- Enjoy working with both office teams and warehouse crews
- Are comfortable using computers and learning new software
- Take ownership instead of waiting for someone else to solve the problem
What This Role Is NOT
This is not a desk job where you simply enter information into a computer.
You will be in the middle of the operation—talking with warehouse leads, checking project readiness, communicating with departments, receiving drivers, adjusting schedules, and making sure today's plan is actually happening.
