Overview
The Human Resources Coordinator & Client Support Specialist is a dual-function role responsible for supporting the organization's employees while also providing exceptional administrative and customer-service support to clients and their families. This position serves as an important connection between Human Resources, clinical teams, clients, families, and organizational leadership. The ideal candidate is highly organized, compassionate, professional, and comfortable managing confidential information, coordinating schedules and documentation, communicating with families, and supporting employees throughout the employment lifecycle. The ideal candidate will possess a comprehensive understanding of human resources management practices, including talent acquisition, employee relations, and benefits administration. The Human Resources Coordinator will serve as a vital link between management and staff, facilitating effective communication and operational excellence across all HR initiatives.
The successful candidate will help ensure that employees have the resources and support they need to provide high-quality ABA services while ensuring that clients and families receive timely, respectful, and solution-focused assistance.
Key Responsibilities
- Coordinate interviews, candidate communications, background checks, reference checks, and required pre-employment documentation.
- Assist with the full employee lifecycle, including recruitment, onboarding, orientation, employee documentation, and offboarding.
- Prepare and maintain employee personnel files in accordance with company policies and applicable regulations.
- Assist new employees with completing onboarding paperwork, training requirements, and compliance documentation.
- Track employee credentials, certifications, licenses, CPR/First Aid requirements, background checks, and other compliance-related items.
- Maintain accurate HR records and update employee information in HRIS and other internal systems.
- Assist with employee attendance, timekeeping, leave requests, and other administrative HR matters.
- Respond to employee questions regarding policies, procedures, benefits, onboarding, and general HR processes.
- Coordinate employee training, meetings, orientations, and required continuing education.
- Support employee engagement initiatives, recognition programs, and company events.
- Assist HR leadership with employee relations matters while maintaining professionalism, confidentiality, and appropriate documentation.
- Communicate organizational policies and procedures clearly and consistently to employees.
- Assist with performance review processes and other employee development initiatives.
- Maintain strict confidentiality of employee, client, and company information.
Client Support Responsibilities
- Serve as a professional and compassionate point of contact for clients and their families.
- Respond to client and caregiver questions, concerns, requests, and general inquiries in a timely manner.
- Assist families with the administrative aspects of starting and continuing ABA services.
- Coordinate client-related documentation and ensure required information is collected and maintained accurately.
- Assist with scheduling and coordinating appointments, intake activities, meetings, and other client-related services as needed.
- Communicate with families regarding scheduling changes, administrative requirements, documentation, and service-related logistics.
- Collaborate with Board Certified Behavior Analysts (BCBAs), Registered Behavior Technicians (RBTs), clinical leadership, and administrative staff to help resolve client concerns.
- Escalate clinical, safety, or other complex concerns to the appropriate clinical or organizational leader.
- Maintain accurate and confidential client records in accordance with company policies and applicable privacy requirements.
- Follow up with families to ensure questions and administrative concerns have been appropriately addressed.
- Help create a positive client experience by demonstrating empathy, professionalism, responsiveness, and respect.
- Assist with client satisfaction initiatives, feedback collection, and service improvement efforts.
- Support communication between families and internal departments when appropriate.
Administrative & Operational Responsibilities
- Maintain accurate records, spreadsheets, databases, reports, and electronic files.
- Assist with tracking staffing, onboarding, documentation, and client-support activities.
- Prepare reports and summaries for HR and operations leadership as requested.
- Assist with internal audits and compliance reviews.
- Coordinate meetings and maintain calendars for HR and administrative functions.
- Assist with internal communications and distribution of organizational announcements.
- Identify administrative issues or process inefficiencies and recommend improvements.
- Work collaboratively across departments to support efficient daily operations.
- Perform other duties and special projects as assigned by leadership.
Qualifications
- High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Business Administration, Healthcare Administration, Psychology, Human Services, or a related field preferred.
- 2+ years of experience in Human Resources, healthcare administration, client services, customer support, office administration, or a related field preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to communicate effectively with employees, families, and clinical professionals.
- Ability to handle sensitive and confidential information with discretion.

Pay: $24.94 - $35.00 per hour
