We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
- Work directly with the Principal Broker and support her daily activities.
- Handle incoming calls with courtesy and clear communication
- Maintain organized filing systems—both physical and digital—ensuring easy access to important documents
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Assist with calendar management and scheduling appointments for staff and executives
- Support bookkeeping activities using QuickBooks or similar accounting tools, including invoice processing and expense tracking
- Provide clerical support such as proofreading documents, preparing correspondence, and managing mail distribution
- Handle customer support inquiries via phone or email with excellent phone etiquette and problem-solving skills
- Coordinate office supplies inventory and place orders as needed to keep operations seamless
Requirements
- Proven experience in an office environment or administrative role with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent typing speed and accuracy; strong attention to detail for proofreading and data entry tasks
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Experience in the real estate field is a huge asses but not required if you have other experience.
- Exceptional customer service skills combined with professional phone etiquette
- Strong time management skills to prioritize tasks efficiently in a busy setting
- Personal assistant or office management experience will be considered an asset
- Having a license to practice real estate in Virginia is preferred.
