Job Summary
IVFMD of Texas is seeking a courteous, compassionate, and experienced Patient Experience Coordinator. This person will play a critical role in ensuring a seamless, supportive, and high-quality experience for patients undergoing fertility treatment. This individual serves as a primary point of contact, guiding patients through appointments, coordinating care, and addressing concerns with empathy and professionalism.
Key Responsibilities
· Serve as a central point of contact for patients, providing timely and compassionate communication via phone, email, and patient portals
· Coordinate patient appointments, procedures, and follow-ups across clinical teams
· Guide patients through the fertility treatment process, including education on next steps, timelines, and expectations
· Collaborate closely with physicians, nurses, financial counselors, and lab teams to ensure continuity of care
· Proactively identify and resolve patient concerns, escalating issues when appropriate
· Support new patient onboarding, including intake, record collection, and initial scheduling
· Maintain accurate and up-to-date patient records in EMR systems
· Assist in improving patient satisfaction by gathering feedback and contributing to experience initiatives
· Ensure compliance with HIPAA and patient confidentiality standards.
Requirements
· 2+ years of experience in healthcare, customer service, or patient coordination (fertility or women’s health experience preferred)
· Strong interpersonal and communication skills, with a high level of empathy and professionalism
· Ability to manage multiple priorities in a fast-paced, emotionally sensitive environment
· Proficiency with EMR systems and standard office software
· Strong organizational and problem-solving skills

Business Hours:
Monday/Wednesday: 0800-1800 (closed for lunch 1300-1400)
Tuesday/Thursday: 0800-1700 (closed for lunch 1300-1400)
Friday: 0800-1400
Saturday: 0800-1200 (on a rotation basis)
*Hours are subject to change based on clinic needs
Pay: $25.00 - $28.00 per hour
