Overview
Placer Community Foundation (PCF) is seeking a highly organized, mission-driven, and self-directed professional to provide temporary support during the Grants and Community Impact Manager’s maternity leave. This position combines grants management, database and reporting work, donor and community partner communication, and assistance with Placer Collaborative Network Administrative and Committee meetings. The ideal candidate will have strong project management skills, direct nonprofit and philanthropic sector experience, excellent written and verbal communication skills, and the ability to work effectively with donors, board members, nonprofit partners, volunteers, and community leaders. This role requires a high degree of discretion, sound judgment, attention to detail, and comfort managing multiple priorities in a fast-paced, collaborative environment. This is a temporary position expected to begin in July 2026 and continue through mid-February 2027. There may be an opportunity for continued employment after the Grants Manager returns from maternity leave; however, the permanent role and job description would likely be revised based on the Foundation's needs at that time
Responsibilities
Grants Management and Scholarship Support
Manage and support PCF's grantmaking and scholarship processes with a high level of professionalism, accuracy, and responsiveness.
- Review and process grant applications, grant reports, and related documentation.
- Enter and maintain grant and scholarship information in PCF's database of records, including C-Suite, Grants Lifecycle Manager, Scholarship Lifecycle Manager or other systems.
- Support due diligence processes for grant applicants and nonprofit partners.
- Prepare grant awards and grant process communications.
- Track grant report deadlines and send reminders to grantees.
- Communicate professionally with nonprofit applicants, grantees, donors, fundholders, committee members, and community partners.
- Assist with scholarship administration, including communications with applicants, schools, review committees, awardees, and donors.
- Help prepare grant and scholarship materials for internal review, committee meetings, donor updates, and Board reporting.
- Coordinate with staff to share funding opportunities with donors and fundholders when appropriate.
- Maintain organized and accurate records of grantmaking activity, outcomes, and follow-up activities.
Placer Collaborative Network and Health Planning Workgroup Convening
Support PCF’s role in convening Placer Collaborative Network (PCN) and related health and human service planning efforts, including the Health Planning Workgroup that operates under PCN.
- Coordinate logistics, agendas, meeting materials, reminders, attendance, notes, and follow-up for PCN meetings and Health Planning Workgroup sessions. Placer Community Foundation
- Work with PCF leadership and community partners to support productive collaboration among nonprofit organizations, health systems, public agencies, faith-based communities, and other stakeholders.
- Help track emerging community needs, partner priorities, action items, and opportunities for shared planning or philanthropic investment.
- Maintain organized records of PCN and Health Planning Workgroup discussions, decisions, participant lists, and follow-up commitments.
- Assist with communication to participants before and after convenings, ensuring information is clear, timely, and appropriate for a cross-sector audience.
- Manage PCN social media accounts, posting announcements, events, and community updates as necessary.
- Support preparation of summaries, updates, or reports for PCF staff, donors, committees, and the Board related to PCN and health planning activities.
Database, Reporting, and Information Management
Support accurate data entry, reporting, and information management across PCF's grantmaking, donor, and community impact work.
- Maintain accurate grants, scholarships, donors, nonprofits, and committee records in PCF's database systems.
- Develop and maintain coding, tracking, and reporting systems for special grant initiatives or programs.
- Assist with reports that summarize grant history, community impact, donor activity, and program outcomes.
- Support internal dashboards or tracking tools that help staff, committees, and the Board understand PCF's grantmaking and impact.
- Maintain organized digital files and archived records in accordance with PCF's document retention practices.
- Prepare research summaries, surveys, or reports related to community needs, nonprofits, and Foundation programs as assigned.
- Ensure sensitive donors, nonprofits, financial, and organizational information is handled confidentially and accurately.
- Maintain and update the organization's website content related to grants, scholarships, and PCN, as applicable.
Community, Donor, and Partner Relations
Serve as a professional and trusted representative of PCF in communications with donors, nonprofit partners, volunteers, and community stakeholders.
- Maintain respectful, timely, and clear communication with donors, fundholders, board members, nonprofit leaders, public agencies, and community partners.
- Help nonprofit partners understand PCF grantmaking policies, procedures, deadlines, and expectations.
- Support strong relationships with grantees, scholarship partners, and community organizations.
- Assist with follow-up from meetings, donor conversations, committee decisions, and grantmaking activities.
- Collaborate with PCF staff to ensure donors and partners receive accurate and thoughtful information.
- Represent the Foundation with professionalism, discretion, warmth, and integrity.
Project Management and Foundation Support
Support the Foundation's broader operations and mission through strong project management, follow-through, and collaboration.
- Manage multiple projects, deadlines, meetings, and communications simultaneously.
- Track timelines, deliverables, pending decisions, and follow-up actions.
- Anticipate needs, identify issues early, and recommend practical solutions.
- Collaborate with staff to ensure a smooth flow of information and support across the organization.
- Assist with Foundation events, donor gatherings, nonprofit meetings, or community convenings as needed.
- Perform other duties as assigned to support the Foundation's mission and temporary staffing needs.
Required Skills and Experience
- At least three years of relevant professional experience in a nonprofit, foundation, philanthropic, community development, or civic setting, with demonstrated experience working in or with the nonprofit sector. Experience with community foundations, donor advised funds, grantmaking, scholarships, or nonprofit program administration is a plus. Placer Community Foundation
- Strong project management skills, including organizing complex work, managing deadlines, tracking details, and following independently in a fast-paced, entrepreneurial environment.
- Excellent written and verbal communication skills, with strong interpersonal and diplomatic abilities to build trust across donors, board members, nonprofit partners, volunteers, and colleagues; experience preparing materials for boards, committees, donors, or executive leadership preferred.
- Experience with databases, CRM systems, grantmaking software, or similar information management tools; proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint). Familiarity with C-Suite or similar community foundation database systems is a plus.
- High attention to detail and accuracy in data entry, document preparation, reporting, and meeting materials, with a strong commitment to discretion and confidentiality.
- Sound judgment, maturity, integrity, and the ability to work both independently and collaboratively.
- Knowledge of Placer County's nonprofit, civic, or community landscape and/or background in health and human services, housing, education, arts, or public policy preferred.
- Genuine interest in community philanthropy, nonprofit effectiveness, and improving quality of life in Placer County.
