Facilities Manager

Position Summary
The Facilities Manager is responsible for overseeing the day-to-day operations of two Class A office locations in the San Francisco Bay Area, with the primary office based in Palo Alto and occasional travel to the San Francisco office as business needs require. This role ensures the delivery of a safe, efficient, and exceptional workplace experience while maintaining the highest standards of facility operations for a professional services environment.
The ideal candidate is a proactive, service-oriented facilities professional with strong operational, vendor management, and project management experience. Familiarity with commercial office operations and building systems is essential, and experience working within a triple-net (NNN) lease environment and collaborating with commercial property management teams is highly desirable.
Key Responsibilities
- Oversee the daily operations and maintenance of multiple office locations, ensuring facilities are safe, functional, and operating efficiently.
- Serve as the primary point of contact for all facilities-related requests and provide outstanding customer service to employees, visitors, and leadership.
- Build and maintain strong relationships with property management, building ownership, vendors, and service providers.
- Coordinate preventive maintenance, repairs, inspections, and capital improvement projects.
- Monitor and support building systems, including HVAC, electrical, plumbing, lighting, fire/life safety, and security.
- Manage vendor contracts, oversee service performance, and ensure compliance with service level agreements.
- Coordinate office moves, furniture installations, space planning, and workplace modifications.
- Develop and manage operating budgets, review invoices, and monitor facility expenditures.
- Ensure compliance with all applicable safety regulations, emergency preparedness procedures, and environmental requirements.
- Support business continuity planning and emergency response efforts.
- Partner with cross-functional teams, including Information Technology, Human Resources, Security, and business leadership, to ensure seamless workplace operations.
- Identify opportunities to improve operational efficiency, reduce costs, and enhance the overall workplace experience.
Qualifications
- Bachelor's degree or equivalent combination of education and relevant experience.
- Five or more years of facilities management experience in a corporate or professional office environment.
- Experience managing multiple office locations is preferred.
- Familiarity with Class A commercial office buildings and building operations.
- Experience working within a triple-net (NNN) lease environment and coordinating closely with commercial property management is strongly preferred.
- Knowledge of building systems, preventive maintenance programs, vendor management, budgeting, and project management.
- Strong organizational, communication, and problem-solving skills with a customer-first mindset.
- Proficiency with Microsoft Office and facilities management or computerized maintenance management systems (CMMS).
- Professional certifications such as FMP, SFP, CFM, or PMP are considered a plus.
