We are seeking a detail-oriented and organized Accounting Administrative Assistant to join our team. The administrative person will support the effectiveness of our office. This role offers a great opportunity for a motivated individual that wants to grow within our firm. Please keep in mind, this accounting firm has mandatory overtime (minimum hours required) during tax season with pay from February through April.
**Responsibilities:**
- Greet clients, answering questions and addressing concerns in a friendly and professional manner
- Manage the day-to-day operations of the office, including scheduling appointments, handling phone calls, collections, keeping up to date with emails, scanning documents, filing (clerical duties) and maintaining accurate records
- Assist in preparing documentation with the team such as bookkeeping, payroll taxes, sales tax, audits, new businesses, personal and business tax returns
- Utilize Google Suite to manage calendars, spreadsheets, letters and emails
- Demonstrate strong phone etiquette, answering and directing calls with precision and poise
- Assist in providing administrative support to staff members
- Maintain an organized and efficient office environment
- Practice excellent time management skills to ensure all tasks are completed in a timely manner and meet all deadlines
- Proofread documents and reports to ensure accuracy and professionalism
- Assist with processing invoices and payments with QuickBooks, ordering supplies, research tax laws and etc.
- Maintain organized and detailed records
- Assist in the preparation of documents
**Qualifications**
- Experience as Admin. Assistant in accounting firm
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Proficiency with Google Suite (Sheets, Contacts, Calendar and Gmail) and other software's such as Microsoft Excel, Word, MailChimp, Drake Tax Software, and Social Media platforms
- Excellent communication and phone etiquette skills
- Ability to maintain confidentiality and handle sensitive information
- Strong proofreading and editing skills
- Ability to work independently and as part of a team
- Memorization Skills
- Ability to follow instructions
- Strong analytical and problem-solving skills
- Excellent organizational and time management skills
- Strong attention to detail and accuracy in financial reporting
Job Type: Full-time
Pay: $45,500.00 - $50,960.00 per year
