At Kennedy Vision Health Center, the Human Resources Generalist is responsible for managing day-to-day HR operations and supporting key HR functions. This role ensures compliance with all federal and state labor laws, supports employee engagement and development, oversees recruitment and onboarding, oversees benefits administration, and contributes to performance management and employee relations. The Human Resources Generalist collaborates closely with the DOO and department managers to maintain a positive, productive, and welcoming work environment while ensuring HR processes are efficient, aligned with organizational goals, and effective in mitigating risk to the company.
Duties & Role Responsibilities:
Recruitment, On-Boarding, and Talent Management:
- Utilize recruitment platforms to post ads, review and reach out to candidates, and schedule interviews.
- Communicate with managers to determine and evaluate staffing needs and provide guidance.
- Extend job offers and schedule first days and on-boarding, providing a smooth transition for new employees and teams. Conduct the orientation process for new employees.
- Prepare all on-boarding and new hire paperwork, perform needed background checks, and communicate to the IT department for new employee Window credentials.
- Add new employees to all necessary inhouse platforms, such as Revolution HR, Google, Benefits Platform, and the PEO.
- Conduct off-boarding processes such as removal from company platforms, PEO platforms, Google/Excel documents. Filing physical and electronic personnel files.
- Other duties as assigned.
Employee Relations:
- Serve as a point of contact for all employees to address concerns, grievances, and other employment related issues in a timely and confidential manner.
- Perform routine pulse-checks to maintain a positive work environment for all staff.
- Investigate and resolve sensitive employee conflicts, including but not limited to reports of harassment, discrimination, and retaliation. Conduct disciplinary action when necessary.
- Have clear communication between management and employees, ensuring policy compliance is communicated and understood.
- Conduct exit interviews.

Performance Management:
- Partner with managers to develop, implement, and monitor performance of employees.
- Support and coach managers in handling employee performance related issues, assisting in setting performance goals, and addressing other employment concerns.
- Coordinate, develop, and support career development and enhance employee skills.
- Assist in annual reviews to set goals and help develop growth plans for employees.

Compensation and Benefits Administration:
- Administer and monitor benefit enrollment during benefit season.
- Oversee employee benefit programs, including health insurance, dental, 401(k), Life, among others.
- Assist with requested information from employees concerning pay and benefits.
- Serve as a liaison between employees and benefit providers, helping assist with any benefit or compensation related questions and concerns.
- Process and update benefit enrollments upon an employee separation.
- Manage and monitor PTO and ESST for all employees. Assist in administering PTO every calendar year.
- Process payroll bi-weekly for hourly, non-exempt employees through UKG Timekeeping.

HR Policy Development and Compliance
- Assist in developing, communicating, monitor, and enforce company policy and procedures.
- Keep up to date with federal & state policy changes, communicate any necessary changes with management and employees. Ensure compliance with federal, state, and local laws and regulations, such as FMLA, FLSA, EEO, OSHA.
- Regularly review the KVHC company handbook, revise and update when needed and communicate any changes to employees.
- Maintain employee records, updating them when necessary, and keeping them in a secure location.
- Assist FrankCrum with unemployment claims and provide necessary information.
- Conduct training procedures with employees, including Safety, Anti-Harassment, and other HR related topics.
- Work as the Paid Leave Administrator for PFML. Review employees submissions for MN Paid Leave.
- Other duties as assigned.
Health and Safety:
- Work as the Safety Director for KVHC’s AWAIR Program.
- Conduct safety hazards, investigate safety claims, and recommend solutions.
- Document all work related injuries and, If necessary, fill out injury reports and send them to Workers Comp Insurance and file with the OSHA 300 logs.
- Other duties as assigned.
HR Metrics:
- Monitor and document different assortment of HR metrics including Turnover Rate, Time to Hire, Time to Fill, amongst other related metrics.

Qualifications & Skills:
- Bachelor’s degree in Human Resources, Business Administration, or related field required.
- aPHR, SHRM-CP, PHR, or other HR certification preferred.
- Minimum 1-3 years of experience in a Human Resources Role.
- Strong knowledge of federal, state, and local employment laws and regulations.
- Excellent interpersonal and communication skills, with the ability to handle sensitive situations and confidential information.
- Strong problem-solving and conflict resolution skills.
- Ability to work independently and collaboratively in a team environment.
- Detail-oriented, organized, and able to manage multiple priorities simultaneously.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and HRIS systems.

- Office setting with prolonged sitting, some walking.
- Occasional travel between clinic locations.
- Occasions that may require to lift up to 15 pounds.
