We are seeking a highly organized and detail-oriented Administrative Assistant to join our growing team. This position is responsible for overseeing payroll administration, performing data entry functions, and assisting with key human resources activities. Responsibilities
Payroll Administration
- Process bi-weekly and monthly payroll accurately and on time
- Maintain payroll records and employee earnings information
- Administer payroll deductions, garnishments, and benefit withholdings
- Ensure compliance with federal, state, and local payroll regulations
- Respond to employee payroll questions and resolve discrepancies
- Prepare payroll-related reports and documentation
Data Entry & Administrative Support
- Accurately enter, update, and maintain employee, payroll, accounting, and operational data in company systems
- Verify data for accuracy and completeness and correct discrepancies as needed
- Maintain electronic and paper filing systems and ensure records are properly organized
- Generate reports, spreadsheets, and other administrative documents
- Assist with document management, record retention, and database maintenance
- Support daily office operations and administrative projects as assigned
Human Resources Support
- Coordinate employee onboarding and new hire paperwork
- Maintain confidential personnel files and employee records
- Assist with benefits enrollment and administration
- Support employee leave tracking and related documentation
- Assist with HR compliance and recordkeeping requirements
- Support employee communications and administrative HR functions
Qualifications
- 2+ years of administrative, accounting, bookkeeping, payroll, data entry, or related experience preferred
- Strong knowledge of Microsoft Excel, including formulas, filtering, and data analysis
- Experience with payroll systems, accounting software, and database management preferred
- Excellent data entry skills with a high level of accuracy and attention to detail
- Understanding of basic HR practices and employment documentation
- Strong organizational, analytical, and problem-solving abilities
- Ability to maintain confidentiality and handle sensitive information
- Effective verbal and written communication skills
- Self-motivated with the ability to work independently and as part of a team
- Ability to manage multiple tasks, prioritize workload, and meet deadlines
