The New Mexico Secretary of State is a constitutional agency dedicated to serving the citizens of New Mexico through the administration of elections, maintenance of business and notarial filings, enforcement of ethics and campaign reporting laws, and preservation of public records.
The Administrative Services Division provides centralized financial management, accounting, budgeting, procurement, contract administration, and operational support for the agency. The division helps ensure that agency programs and statutory responsibilities are carried out efficiently, transparently, and in compliance with applicable state laws, regulations, policies, and accounting standards. Its responsibilities include financial reporting, account reconciliation, budget monitoring, purchasing, contract processing, internal controls, and asset accountability for all agency divisions.

Why does the job exist?
This position exists to ensure the agency's financial transactions are recorded accurately, accounts are reconciled timely, and financial reports are complete and reliable. The Senior Accountant supports compliance with state and federal requirements, assists with audits and fiscal year-end closing, monitors multiple funding sources, resolves complex accounting discrepancies, and strengthens internal controls. The position also provides essential financial information to agency leadership for informed decision-making and helps safeguard public funds.
How does it get done?
The Senior Accountant is responsible for:
Maintain accurate and complete financial records in accordance with applicable accounting standards, state
requirements, and agency policies;
Prepare, review, and post journal entries and other financial adjustments;
Reconcile bank accounts, general ledger accounts, revenue, expenditures, accounts payable,
and accounts receivable;
Research and correct accounting errors, discrepancies, and unsupported balances;
Prepare financial reports and provide accurate financial information to agency leadership;
Support fiscal year-end closing activities and internal and external audits;
Monitor transactions involving multiple funding sources and verify that expenditures
are recorded appropriately;
Maintain complete supporting documentation for accounting transactions, reconciliations, and audit review;
Evaluate internal controls and recommend improvements to accounting processes;
Provide accounting guidance and technical assistance to agency staff.

Minimum Qualification
Bachelor's Degree in Accounting, Finance, Auditing, or Business Administration and two (2) years directly related work experience in accounting, auditing, finance, and/or budgeting. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling six (6) years may substitute for the required education and experience.
Employment Requirements
Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment.
Working Conditions
Work is primarily performed in a professional office setting with extensive personal computer, financial system, email, telephone, and Visual/Video Display Terminal (VDT) usage. The position requires prolonged periods of sitting, reviewing detailed financial information, and meeting established reporting, reconciliation, audit, and fiscal year-end deadlines. Occasional in-state travel, extended work hours, or schedule adjustments may be required during peak accounting periods.
