We are a specialty construction company based in Kent, WA seeking a highly organized and proactive Construction Estimating Coordinator & Sales Support Specialist to support our estimating, sales, and marketing teams. This role combines bid coordination, estimating administration, construction project support, customer relationship management, and sales operations support. This position plays a critical role in managing construction bid opportunities, maintaining customer and project data, providing sales support, and ensuring seamless communication between customers, contractors, owners, architects, engineers, and internal departments. The ideal candidate is detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced construction environment. Success in this role requires strong organizational skills, professional communication, and the ability to support projects from lead generation through contract award and project handoff.

Key Responsibilities
Bid Administration & Tracking
· Set up and track all inbound bid opportunities in PSA, file systems, servers, and bid calendars
· Maintain accurate bid tracking records, progress notes, and project status updates
· Distribute quotes to contractors, owners, and project stakeholders
· Obtain bid tabulations and identify low bidders following bid openings
· Manage geomembrane bid lists, customer records, and project tracking spreadsheets
· Prepare bid packages, qualifications, bid bonds, and other required bid submissions
· Research and complete project-specific bid requirements and documentation
· Track project status from initial lead through contract award or project closeout
· Coordinate qualification calls and support pre-bid activities
Sales & Customer Support
· Support sales representatives with customer communications, project tracking, and PSA data entry
· Manage pre-bid bidder lists and customer outreach efforts
· Answer and direct incoming calls related to estimating, sales, and installation services
· Process and track new customer leads and project opportunities
· Maintain customer, industry, and market information within PSA
· Provide ongoing customer service and relationship support
· Conduct targeted sales outreach and market-development activities as assigned
Project & Industry Research
· Search and identify project opportunities using industry resources including DJC, Building Connected, BXWA, Reed Construction Data, and other platforms
· Research contractors, owners, architects, and engineers associated with bidding opportunities
· Maintain organized records of market activity and project opportunities
Estimating Department Support
· Provide administrative support to the estimating department
· Prepare project resumes, completion lists, qualification packages, and submittals
· Research specifications, project requirements, and contract documentation
· Coordinate bid bond requests and obtain required bid security documents
· Prepare project booking packages for transfer to construction administration
· Assist with special projects and departmental initiatives as needed
Marketing Support
· Support marketing and sales initiatives including advertising, publications, and campaigns
· Assist with website content, case studies, social media, and email marketing efforts
· Coordinate mailers, catalogs, product literature, and promotional materials
· Support trade shows, industry meetings, and marketing events
· Help organize and maintain sales binders and presentation materials

Qualifications Required:
· 2+ years of experience in administrative support, construction estimating support, sales support, or project coordination
· Strong organizational and multitasking abilities
· Proficiency with Microsoft Office Suite, Microsoft Teams, and CRM/PSA software
· Excellent written and verbal communication skills
· Ability to manage multiple deadlines and priorities simultaneously
· Professional customer service and relationship-building skills
· Valid driver's license
Preferred Qualifications:
· Experience in construction, specialty contracting, engineering, or industrial sales environments
· Working knowledge of bidding processes, bid documents, and construction terminology
· Experience with project tracking software, CRM platforms, or PSA systems
· Marketing, lead generation, or business development experience
· Knowledge of geosynthetics/geomembranes, lining systems, or related construction products
