Position Summary
The Family Life Ministry Administrative Coordinator provides administrative, organizational, and ministry support to the Family Life Pastor and the Family Life Ministry team.
This role supports weekly operations, ministry environments, events, volunteer systems, communication, and administrative details connected to preschool, elementary, middle school, high school, young adults, parents, volunteers, and families.
The goal of this position is to help Family Life Ministry operate with excellence, clarity, consistency and care.
Responsibilities
1. Administrative and Ministry Support
The coordinator helps provide administrative support for the systems, details, and organization needed for Family Life Ministry to function well.
- Provide administrative support for Family Life ministries, environments, events, calendar and budget needs.
- Use CCB to support ministry systems, rosters, groups, registrations, and communication.
- Assist with calendars, room reservations, purchase orders, supplies, printing, forms, and ministry planning details.
- Maintain organized files, procedures, records, and ministry resources.
- Provide office support in the main office as needed and assigned.
2. Weekly Ministry Operations
The coordinator helps prepare and support Family Life ministry environments so they are ready, organized, welcoming, and consistent.
- Help prepare Family Life environments for Sunday mornings, Wednesday nights, and other ministry gatherings.
- Assist with check-in systems, classroom supplies, program materials, curriculum resources, and weekly communication.
- Help identify gaps, needs, and follow-up items so ministry details do not fall through the cracks.
- Support the consistent setup, readiness, cleanliness, and organization of ministry spaces.
3. Volunteer Support and Coordination
The coordinator helps support the volunteer systems and processes that allow Family Life Ministry to serve families with care and excellence.
- Assist the Family Life Pastor with recruiting, onboarding, scheduling, encouraging, and supporting volunteers.
- Help track volunteer applications, background checks, training steps, and serving placement.
- Support volunteer training connected to safety, ministry procedures, Family Life vision, Lead Small principles, and the Orange philosophy.
- Help create a healthy volunteer culture by celebrating wins, communicating clearly, and helping volunteers feel equipped and valued.
- Help volunteers understand their role in partnering with parents and creating consistent ministry environments.
4. Events, Communication, and Family Engagement
The coordinator helps plan, organize, and communicate ministry opportunities for families, volunteers, children, students, young adults, and parents.
- Help plan, organize, and execute Family Life events for children, students, young adults, parents, volunteers, and families.
- Assist with event registration, communication, supplies, setup, volunteers, follow-up, and administrative details.
- Help prepare emails, texts, announcements, forms, registrations, and ministry updates.
- Communicate in a timely, positive, professional, and ministry-aligned way.
- Help families and volunteers know what is happening, what is expected, and how to take their next step.
- Build growing relationships with families to support children’s and students’ spiritual growth and help parents connect church and home.
5. Ministry Culture and Team Support
The coordinator helps support the overall culture, unity, and effectiveness of Family Life Ministry.
- Help create welcoming, safe, organized, and spiritually meaningful environments for families to learn about Jesus.
- Support the Family Life Pastor in building a culture of unity, excellence, encouragement, accountability, and care.
- Serve as a team player who helps carry out the vision, systems, and priorities of Family Life Ministry.
- Practice humility, flexibility, and a willingness to serve wherever needed.
- Humbly carry out assigned job duties and additional responsibilities the Family Life Pastor may assign.
Job Requirements
- High school diploma or equivalent required; administrative experience preferred.
- Ministry, church, or school experience preferred.
- Must complete and pass a background check.
- Strong organizational and communication skills.
- Comfortable using computers, databases, email, texting platforms, and basic office software.
- Able to manage details, deadlines, schedules, and follow-through.
- Able to work well with staff, volunteers, parents, children, students, and young adults.
- Must maintain confidentiality with family, volunteer, and church information.
- Must become familiar with the Orange philosophy and curriculum strategy used within Family Life Ministry, including partnering with parents, discipling the next generation, and connecting church and home.
- Must notify supervisor of all absences.
- This full-time position requires a flexible schedule, with primary workdays being Sunday through Thursday. Some evenings, special events, and occasional schedule adjustments may be required.

Pay: $35,000.00 - $40,000.00 per year
