Duties
- Greet visitors, clients, and vendors warmly, providing exceptional customer service at all times
- Operate multi-line phone systems, screen calls, and direct inquiries to appropriate team members with professionalism and courtesy
- Manage front desk activities including scheduling appointments, handling mail, and maintaining visitor logs
- Perform clerical tasks such as data entry, filing, proofreading documents, and managing correspondence
- Support office management by coordinating calendar schedules, booking meetings, and organizing events
- Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports and presentations
- Assist with bookkeeping tasks using QuickBooks or similar accounting software and handle basic bookkeeping responsibilities such as invoicing and expense tracking
Skills
- Proven experience in front desk operations and office administration with strong organizational skills
- Excellent phone etiquette with the ability to handle multi-line phone systems efficiently
- Bilingual abilities are highly desirable to assist diverse client needs
- Strong computer literacy including proficiency in Microsoft Office, Google Workspace, data entry, and general office software
- Exceptional customer service skills with a friendly demeanor and professional attitude
- Ability to manage time effectively while juggling multiple tasks in a fast-paced environment
- Attention to detail for proofreading documents and maintaining accurate records
- Previous clerical or administrative experience preferred, including calendar management and personal assistant duties
