Dental Scheduling Coordinator
Job Overview
Northpointe Family Dentistry is seeking an organized, warm, and proactive Dental Scheduling Coordinator to be the heartbeat of our front office. As the first point of contact for our patients, you’ll own the daily schedule, keep the calendar full and productive, and create a welcoming experience from the moment someone walks in or picks up the phone. If you thrive in a fast-paced practice, take pride in an efficiently run day, and want to grow with a practice that invests in its people, we’d love to meet you.
We’ll train the right person. Dental front-office experience is a plus, but the right attitude, work ethic, and coachability matter more.
What You’ll Do
- Own the daily and weekly patient schedule in Open Dental, keeping providers productive and minimizing gaps and no-shows
- Confirm upcoming appointments 24 to 48 hours in advance by phone, text, and email with friendly, professional communication
- Fill openings quickly from the schedule and recall lists when cancellations happen
- Coordinate follow-up and treatment-plan appointments, ensuring proper chair time and provider availability
- Greet patients warmly, manage check-in and check-out, and keep the reception area calm and welcoming
- Answer and route multi-line phone calls, triage patient questions, and handle scheduling requests
- Keep patient records accurate and up to date in Open Dental while safeguarding confidentiality
- Communicate throughout the day with hygienists, assistants, and doctors to keep patient flow smooth
- Handle general front-desk clerical tasks, including forms, data entry, and correspondence, with accuracy
What We’re Looking For
- A people-first personality with genuine warmth and professional phone etiquette
- Strong organizational skills and the ability to juggle competing priorities without dropping the ball
- Comfort with computers and a willingness to learn Open Dental (experience with it, or similar dental software, is a plus)
- Clear written and verbal communication
- Reliability, punctuality, and a team-first mindset
- Dental or medical front-office experience preferred, but not required for the right candidate
- Working knowledge of dental terminology and insurance basics is a plus
- Commitment to patient confidentiality and HIPAA compliance
- Bilingual is a plus and helps us serve our community better
- High school diploma or equivalent
Why Join Us
- Paid time off
- Performance bonus structure that rewards a well-run schedule and a full calendar
- A supportive team that values training, growth, and doing things the right way
- A modern, patient-focused practice where your work directly shapes the patient experience
If you’re organized, dependable, and love being the friendly face that keeps a practice running, apply today and help us deliver an outstanding experience to every patient.
