Business Office Manager
Annual Salary: $42,000 per year
Paid vacation in accordance with the company's vacation policy.
Position Summary
We are seeking a highly organized, proactive, and accountable Office Manager who takes ownership of the company's administrative, financial, and human resources operations. This is not a task-based administrative position. We are looking for someone who treats the business as their own, takes initiative, identifies problems before they become issues, follows every task through to completion, and ensures nothing falls through the cracks.
The successful candidate will oversee office operations from start to finish, including billing, financial reconciliations, payroll coordination, hiring support, scheduling, purchasing, vendor management, and administrative compliance. They must be able to work independently, prioritize competing responsibilities, and maintain a high level of accuracy and professionalism.
Key ResponsibilitiesOwnership & Accountability
- Take full ownership of assigned responsibilities from initiation through completion.
- Proactively identify problems and implement solutions without waiting for direction.
- Follow up on outstanding tasks until they are fully resolved.
- Maintain organized systems and ensure deadlines are consistently met.
- Communicate progress, delays, and issues promptly to management.
- Build processes that improve efficiency and reduce operational errors.
Billing & Financial Administration
- Manage the complete billing process from invoice receipt through payment.
- Process accounts payable and accounts receivable accurately and on time.
- Prepare and issue company checks as authorized.
- Perform daily, weekly, and monthly cash and account reconciliations.
- Reconcile invoices, vendor statements, deposits, credit card transactions, and bank records.
- Investigate and resolve billing discrepancies independently.
- Maintain accurate financial records and supporting documentation.
- Assist management with expense tracking, reporting, and budget monitoring.
Payroll & Timekeeping
- Review employee time records for accuracy.
- Monitor labor hours and identify payroll discrepancies.
- Coordinate payroll submissions accurately and on schedule.
- Track attendance, leave balances, and overtime exceptions.
Human Resources & Hiring
- Coordinate the end-to-end recruitment process, including posting positions, screening applicants, scheduling interviews, conducting reference checks, and preparing offer letters.
- Manage onboarding, new hire documentation, and personnel files.
- Track employee evaluations, training, and required documentation.
- Assist with employee relations and HR administrative functions.
Operations Support
- Coordinate office operations across multiple business locations.
- Assist with employee scheduling and labor planning.
- Manage office and operational purchasing.
- Coordinate with vendors and ensure timely delivery of products and services.
- Maintain operational reports, dashboards, and company records.
Required Qualifications
- Minimum 5 years of office management, operations, accounting, or business administration experience.
- Must have experience working in one or more of the following industries: retail, grocery, restaurant, hospitality, or food service.
- Strong understanding of billing, bookkeeping, bank reconciliations, payroll, and financial documentation.
- Experience managing multiple priorities with minimal supervision.
- Excellent organizational and follow-up skills.
- High attention to detail and commitment to accuracy.
- Strong communication and leadership abilities.
- Proficiency with Microsoft Office, Google Workspace, spreadsheets, and accounting software.
