Legal Receptionist
Full-Time | Salaried | San Jose, CA | 5 Days/Week In Office
Small, established San Jose law firm seeking a dependable, organized, and motivated Legal Receptionist to join our team. Our firm provides effective legal advice, dispute resolution services, courtroom representation, and litigation in matters involving business law, employment law (employer/employee), and both business and personal bankruptcy law, and Real Estate law.
This is a full-time, salaried position requiring 40 hours per week, Monday through Friday, in the office. We offer great health benefits and an opportunity to learn firsthand how a small law firm operates.
About the Position
In addition to traditional receptionist and office responsibilities, this position is ideal for someone who is interested in the legal field and wants to develop practical legal skills. It is particularly well suited for someone who may eventually want to become a paralegal, as the position provides opportunities to learn and assist with tasks such as:
- Making court call reservations and contacting courts regarding hearing dates or document copies
- Checking tentative rulings
- Creating witness and exhibit lists
- Preparing motion binders and trial binders
- Reviewing document productions for specific items and creating index lists
- Drafting fee agreements
- Learning the day-to-day operations and workflow of a small law firm
Reception & Administrative Responsibilities
The Legal Receptionist will also be responsible for keeping the office organized and running smoothly, including:
- Answering phones, taking messages, and emailing messages to appropriate staff
- Sending out mail and making copies for filing
- Checking and updating calendars
- Scanning and moving incoming mail to appropriate client folders
- Uploading deposition discs as received
- Managing reception scanning jobs
- Updating the firm's library with new materials and following shelving procedures
- Scanning client documents
- Coordinating Corodata pickups and retrieval of offsite files
- Shredding files and paperwork as appropriate
- Emptying KSD and HC out boxes
Office Organization & Upkeep
This position is also responsible for staying on top of the day-to-day cleanliness, organization, and upkeep of the office, including:
- Keeping the kitchen clean and organized, including washing dishes and cleaning and stocking the refrigerator
- Keeping conference rooms clean and ready for meetings
- Keeping copiers, staplers, and other office supplies stocked
- Maintaining an orderly reception and common areas
- Helping ensure the office is clean, organized, and professional for clients and staff
