Valiant is seeking an Administrative Assistant to perform a variety of administrative and clerical tasks who is also interested in gaining new skills.
PURPOSE: The General Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the HSE Department. This position assists with daily office and shop functions, maintains accurate records, supports HSE Specialist, and provides excellent customer service to employees, vendors, and visitors.
ESSENTIAL FUNCTIONS:
- Maintain physical and electronic filing systems, ensuring records are organized and up to date.
- Prepare, edit, and distribute correspondence, reports, and other documents.
- Order and maintain office supplies and coordinate with vendors.
- Assist with data entry and maintain company databases and spreadsheets.
- Support new hire orientation activities by preparing new hire paperwork and coordinating orientation logistics.
- Assist with maintaining personnel records and other confidential documentation.
- Prepare reports and track departmental metrics as requested.
- Support company events, meetings, and training sessions.
- Assist with special projects and other administrative duties as assigned
EDUCATION/LICENSES/CERTIFICATIONS:
- High school diploma or GED required.
- Minimum of 2 years of administrative or office support experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Experience with office equipment such as copiers and scanners.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and accuracy.
- Ability to prioritize multiple tasks and meet deadlines with minimal supervision.
EXPERIENCE:
- A minimum of 2 years’ experience as a general office worker is required for this position, preferably in a lead or senior role.
SKILLS/KNOWLEDGE:
- Intermediate computer skills with MS Office (especially Word, Excel, PowerPoint); intermediate data entry skills.
- Intermediate knowledge of office procedures, filing systems, business phone etiquette, office machines.
- Superior communication skills are necessary.
- Advanced planning and organizing skills
- Keen attention to detail
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting and working at a computer.
- Ability to occasionally lift up to 50 pounds.
- Ability to walk, climb stairs, stand, bend, and reach as necessary to perform shop and office duties.
