Program Event Coordinator (Community Tours)
Harmonious Life Systems (HLS) is seeking a creative, organized, and energetic Program Event Coordinator to lead our Community Tours Program. This position is responsible for planning and coordinating engaging recreational, educational, and social experiences for adults with intellectual and developmental disabilities. The ideal candidate is passionate about community inclusion, enjoys event planning, and can create meaningful experiences that promote independence, socialization, and personal growth.
Responsibilities
- Plan, coordinate, and host 3-4 community events and social activities each month.
- Develop a monthly activities calendar and distribute it to participants, caregivers, and staff.
- Create engaging event flyers and promotional materials that align with HLS branding.
- Facilitate recreational, educational, and social opportunities that accommodate participants with varying abilities and interests.
- Assess participant interests and develop activities that encourage community engagement and personal development.
- Coordinate transportation and event logistics as needed.
- Welcome new participants by introducing them to the Community Tours program and upcoming activities.
- Maintain attendance records and participant engagement data.
- Administer participant satisfaction surveys and use feedback to improve programming.
- Communicate regularly with participants, caregivers, vendors, and the HLS administrative team.
- Monitor participant safety and well-being while ensuring a positive, inclusive environment during all activities.
- Capture photos and event highlights (with appropriate consent) for social media and marketing.
- Submit event summaries, attendance records, receipts, and required documentation following each event.
- Assist in planning and coordinating annual signature events, including the HLS Awards Gala, Harvest Party, Dorney Park Trip, and other agency-wide celebrations.
- Manage event budgets and coordinate with administration regarding funding requests and event approvals.
Qualifications
- Experience in event planning, recreation, social services, education, or a related field preferred.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Creative, energetic, and self-motivated.
- Ability to work independently while collaborating with a team.
- Comfortable using Microsoft Office, Canva or similar design software, email, and social media platforms.
- Reliable transportation and willingness to travel throughout the community for events.
- Ability to work evenings and occasional weekends based on scheduled activities.

Qualifications
· Valid PA driver’s license
· One year of experience working with adults with disabilities
· Strong communication and interpersonal skills (e.g., nonjudgmental, objective, reflective, empathic, patient, tactful)
· Microsoft, Excel, PowerPoint, with marketing experience
· Ability to establish rapport with members and empower them by building on their strengths, talents, interests, and abilities
· Ability to lift up to 40 pounds (event set-up/ break-down)
Schedule:
Tuesday & Thursday (including special event days)
Work Location: One location & Remote
