Retreat Coordinator
REPORTS TO: Retreats Manager
CLASSIFICATION: Full-Time
LOCATION: On-Site - Hamilton, Mo
JOB SUMMARY: The Retreat Coordinator’s principal function is to help oversee the occupancy and service for both Retreat Center locations. As one of the primary contacts for the Retreat Center, this position will complete registrations for upcoming events and classes, finalize arrangements for incoming guests, greet visitors upon arrival, and will conduct retreat classes as needed.
ESSENTIAL FUNCTIONS:
Assist with event planning, retreats, and coordinate with caterers; assist before, during, and after meals with set-up, clean-up, and maintaining a clean and tidy eating/sewing area
Serve as a sewing instructor for company-sponsored retreats; develop quarterly projects; create “step outs” to be used during the instructional class; provide hands-on guidance and support to retreat attendees during class
As part of the event planning, quarterly projects will be determined in advance before publishing events online
Post / publish events and retreats to the Eventbrite system at least 90 days before the event or retreat (with follow-up communication)
Meet arriving guests and welcome them to Hamilton; check in guests, provide directions and assist with questions
Review procedures with attending guests and provide a solution for any problems reported by guests
Send out surveys utilizing Survey Monkey to retreat guests; recap survey results and share with Retreat Manager
Monitor common areas and grounds to ensure a neat and pleasant appearance
Regularly check the sewing machines to ensure they are in good working order at all times
Plan supplies / swag bag contents accordingly to allow adequate time for ordering of any supply needs and review with Retreat Manager in advance
MINIMUM QUALIFICATIONS (Education/Experience):
Previous experience in customer service/hospitality industry required
Comfortable with public speaking and able to present a warm and engaging presence
Previous instruction skills with experience in sewing is greatly desired
Proficiency using standard office systems (Microsoft / Google product suite), email, web browsers, etc., is required
Use of an online platform tool used to plan, promote, and sell tickets for live events is strongly preferred
In-depth knowledge of MSQC operations and quilting industry strongly preferred
Able to work a flexible schedule, including evenings/weekends as needed for Company events

Physical requirements:
This position is 60% sedentary and 40% combined walking and standing; walking involves getting product for giveaways, scavenger hunt activities, etc., from in-town shops, Retreat Center basement, and Warehouse locations
Occasional lifting and carrying up to 20 pounds
Repetitive motion of wrists, hands, and/or fingers while operating a keyboard
Able to navigate stairs occasionally as needed
