POSITION OVERVIEW
The Accounts Receivable Associate will work within the Accounts Receivable team which is responsible for managing resident payments and collection activity in a multifamily portfolio. This position requires the exercise of independent judgment in handling each step in the front-end collection process including posting payments, generating & distributing delinquency communications such as late notices, small balance letters, demands for rent, managing payment arrangements, and generating final account statements. The role involves ensuring legal compliance, advising on collections processes, and making decisions on delinquent accounts without close supervision. A successful candidate will be self-directed, detail oriented, and able to work well with minimal supervision, while also collaborating effectively with other teams and departments.
Work Environment: This is a hybrid role that offers a combination of in-office and remote work. Team members are expected to be on-site several days each week, either at our corporate office or at a nearby Birge & Held property, with the flexibility to work remotely on other days as business needs allow.
KEY RESPONSIBILITIES
Compliance & Legal Responsibilities
- Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws related to apartments and multifamily residency.

Provide expert knowledge of state and local collection laws relevant to our communities and exercise discretion in applying these laws to complex situations.
Resident Communication & Management
- Utilize the community's property management software to generate standardized resident communications, ensuring accurate documentation and timely delivery.

Manage resident communication systems per Birge & Held standards.

Promptly return missed calls and log all communication notes into the company’s Property Management Software.
Delinquency & Payment Processing
- Create and communicate payment plans with delinquent residents, ensuring compliance with company policy, and update “Legal Case” when necessary.

Ensure proper communication to residents regarding delinquency balances and evictions proceedings.

Collect and issue final account statements when a resident moves out.

Review accounts and submit claims for guarantor and insurance products when necessary.

Submit evictions in accordance with SOPs and local municipality laws.
Team Collaboration & Documentation
- Provide other team members with documentation and ensure the timely flow of information to support team objectives.
Scheduling & Availability
- Availability to work a non-standard schedule based on business needs, including but not limited to weekend hours and time-zone-based working hours.

Potentially a remote role with less than 5% travel.

Rental Assistance & Program Knowledge

Provide expert knowledge of rental assistance programs in the portfolio’s area, exercising discretion in determining eligibility and advising residents.
EDUCATION, EXPERIENCE, AND SKILLS
-
An understanding of NOI, cash flow and accounts receivable accounting, with the ability to make independent decisions based on this knowledge.

Must be able to handle crisis appropriately and make informed decisions under pressure.

Must be able to communicate effectively in the organization, both verbally and in writing, especially when explaining complex collection processes to residents or other stakeholders.

A complete understanding of Fair Housing and its application in day-to-day operations.

A thorough understanding of apartment rent collection procedures.

Effectively utilize and understand the Company’s property management software, Microsoft Word and Microsoft Excel.

At least two (2) years of leasing and collections experience, preferably in the residential property or multifamily industry.

Ability to multi-task and prioritize.

Exhibit strong attention to detail.

Ability to perform at high levels in fast paced work environment and successfully adapt to changing priorities and work demands.

Experience with AI Receivable Software, a plus.
-
One-Site (RealPage), Yardi or Multifamily Software experience preferred.

A High school diploma or equivalent (e.g., GED) required.
