We are an established brokerage firm located in Melville, New York, and we're looking for a reliable, organized, and professional Administrative Assistant to become an important part of our team.
This is not an entry-level position. We are seeking an experienced Administrative Assistant who enjoys keeping things organized, communicating with clients, supporting a busy office, and helping a growing company run smoothly.

What You'll Be DoingAdministrative Assistant Responsibilities
- Answering phones and managing email correspondence
- Scheduling appointments and maintaining calendars
- Preparing documents, agreements, and transaction paperwork
- Managing DocuSign and electronic document workflows
- Taking meeting notes and maintaining records
- Organizing digital files and databases
- Assisting with billing and general office administration
- Supporting brokers and management with day-to-day administrative tasks
Client & Broker Support
- Assisting brokers with transactions and client communication
- Following up with buyers and clients
- Maintaining CRM records and databases
- Managing online listings and marketing platforms
- Coordinating office communications and administrative support
Marketing & Content Support
- Posting content to social media platforms
- Creating and editing short-form videos
- Assisting with company marketing campaigns
- Helping create broker training and educational content
- Utilizing AI tools to improve efficiency and productivity
Qualifications
We're looking for an Administrative Assistant who has:
- At least 2 years of Administrative Assistant, Executive Assistant, Office Manager, or similar office experience
- Strong organizational and communication skills
- Excellent attention to detail
- Professional phone and email etiquette
- The ability to work independently
- A willingness to learn new software and technology
- Typing skills of 40+ WPM
Technology Experience Preferred
- Microsoft Word & Excel
- Google Workspace (Drive, Docs, Sheets, Gmail)
- DocuSign
- CapCut
- Canva
- ChatGPT
- Gemini
- Claude
Experience with Facebook, Instagram, LinkedIn, TikTok, and YouTube is highly preferred.
Schedule
- Monday through Friday
- Part-Time Administrative Assistant Position
- Approximately 25–30 Hours Per Week
- In-person position
- Initial training conducted in the office
Compensation
- Starting Pay: $27 Per Hour
- Prior experience required
