Talk O' Texas is searching for a dedicated, positive, friendly Bilingual Administrative Assistant. Full-time position (medical, dental, vision, life & 401k).
Job purpose
The HR Administrative Assistant performs day-to-day HR/staffing operations and office/clerical duties. This position will perform a variety of tasks including, but not limited to the following:
Duties and responsibilities
Administrative
- Provides clerical and administrative support to COO and HR/Office Manager.
- Answers telephone and greet visitors to the office in a professional and friendly manner.
- Coordinate office supply orders.
Human Resources
- Hire production employees as needed to always keep a fully staffed production line.
- Post jobs, process applications and maintain an adequate pool of applicants for attrition.
- Maintain seasonal new hires and terminations in HRIS, time clock and payroll systems.
- Track attendance in time clock for production employees.
- Process weekly payroll for seasonal employees.
- Maintain I-9 and seasonal employee personnel files.
- Process new hire paperwork.
- Administer/log first aid.
- Other duties and projects assigned.
Off Season
- Coordinate and participate in seasonal employee evaluations
- Rotate and archive office files (personnel, payroll, accounting, etc.)
- Annual HR projects (job descriptions, audits, etc.)
- Initiate and complete relevant HR/Payroll compliance education and training (seminars, webinars, manuals, magazines, websites {i.e. SHRM, DOL, EEOC, IRS, BLS, OSHA, etc.}).
- Identify and research human resource management policies, practices and procedures that optimize productivity, efficiency and conformance to legal requirements.
Qualifications include:
- High school diploma or equivalent required
- Proficiency in Microsoft Office (Outlook, Excel, Word, etc.)
- Ability to use basic office equipment (i.e. telephone system, printer, fax, copier, etc.)
- Excellent verbal and written skills in English and Spanish
- Outstanding interpersonal skills displaying patience, humor and helpfulness at all times (frontline contact for employee issues).
- Ability to maintain strict confidentiality regarding payroll, employee issues and company business.
- Ability to multitask handling multiple deadlines and/or projects.
- Must be detail oriented with excellent organization skills: accuracy is essential
- PHR or SHRM-CP certification a plus
- Administrative support experience required – 2+ years
- HR training and/or experience required
Working conditions
- Office environment with moderate-to-high public/associate interaction.
- Early morning schedule 6 months out of the year during production season.
Physical requirements
- Must be able to read and communicate instruction, processes and procedures to staff.
- Required to sit at computer workstation approximately 6 to 8 hours a day.
- Assigned to answer and direct phone calls.
- Occasionally required to move about the production and warehouse facilities.
- Often required to stand, reach, pull and bend when performing required tasks.
