We are seeking a dedicated and professional Front Desk Receptionist to serve as the first point of contact for our organization. Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems with professionalism, directing calls accurately and courteously.
- Handle incoming correspondence, including emails, mail, and deliveries, ensuring timely distribution.
- Maintain organized filing systems, data entry records, and document proofreading to support administrative functions.
- Assist with calendar management and scheduling appointments for staff or management as needed.
- Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office equipment.
- Provide customer support by addressing inquiries efficiently and escalating issues when necessary.
- Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports and correspondence.
- Uphold phone etiquette standards while managing clerical duties such as filing, data entry, and document proofreading.
- Contribute to a positive office environment through excellent organizational skills and time management.
Qualifications
- Proven experience in office administration or reception roles with a focus on customer service excellence.
- Strong computer literacy with proficiency in Microsoft Office applications, Google Workspace, and data entry tools like QuickBooks.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Demonstrated experience in clerical tasks such as filing, proofreading, and calendar management.
- Exceptional communication skills, including phone etiquette and bilingual abilities preferred for diverse client interactions.
- Prior experience in medical or dental receptionist roles is advantageous but not mandatory; familiarity with healthcare environments is a plus.
- Personal assistant or office management experience that showcases strong organizational and time management capabilities.
