Role Overview
I am seeking a highly organized and proactive Part-Time Executive Assistant to support our executive team. In this pivotal role, you will streamline daily operations, manage complex schedules, and handle confidential information with impeccable discretion. The ideal candidate is a self-starter who anticipates needs, communicates flawlessly, and thrives in a fast-paced environment.Key Responsibilities
- Calendar & Schedule Management: Proactively manage and coordinate complex executive calendars, resolve scheduling conflicts, and arrange meetings across various time zones.
- Inbox & Communication Management: Screen and prioritize incoming emails, phone calls, and correspondence, drafting responses and acting as the primary liaison between the executive and stakeholders.
- Travel & Expense Coordination: Plan and book domestic/international travel itineraries and manage accurate expense reports in a timely manner.
- Meeting Preparation: Prepare agendas, presentations (PowerPoint/Keynote), and briefing materials. Take meeting minutes, track action items, and ensure follow-through on deliverables.
- Special Projects: Conduct research, compile data, and manage special projects to support executive initiatives.
Qualifications
- Proven experience as an Executive Assistant, Senior Administrative Assistant, or in a similar support role.
- Exceptional written and verbal communication skills with a high degree of professionalism.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools.
- Strong time-management skills with the ability to pivot as priorities shift.
- Unwavering ability to handle confidential information with tact and discretion.
Position Details
- Hours: Part-time (~15-25 hours per week)
Pay: $30.00 - $40.00 per hour
