Job Overview
We are looking for a highly organized, adaptable individual to join our Patient Care Team in a unique hybrid role that combines client coordination, administrative responsibilities, and hands on patient care.
Our practice focuses primarily on veterinary surgery and rehabilitation, with a mission to make high quality surgical care more accessible and affordable for pet owners. While phones, scheduling, client communication, and administrative work are important parts of the job, this position is also closely involved in the medical side of the practice and includes regular hands on work with dogs and cats.
The right candidate should be comfortable moving between computer based work, direct client and patient interaction, and assisting the medical team during appointments.
Veterinary experience is strongly preferred but not required. We are also open to candidates with experience in animal care, medical, dental, or other healthcare settings who are comfortable learning medical information and quick to learn. Veterinary specific terminology, processes, and clinical skills can be taught to the right person.
Schedule
- Full time, in person position
- Four 10 hour shifts, Monday through Thursday
- No weekends
- No major holidays
Responsibilities
- Greet and assist clients in a professional and welcoming manner
- Answer and manage incoming phone calls
- Perform routine data entry and maintain accurate client and patient records
- Schedule consultations, rechecks, and surgeries
- Manage a complex surgical calendar and coordinate surgery planning and follow-up care
- Triage incoming cases and medical inquiries received by email and phone
- Review incoming medical records and prepare detailed case summaries
- Conduct consultations and recheck appointments with the medical team
- Handle and restrain dogs and cats for examinations, X-rays, and procedures
- Consistently educate clients on recommended procedures, surgery expectations, and recovery instructions
- Communicate medical results and recommended next steps to clients
- Coordinate records, appointments, and patient follow-up with the medical team
- Order office supplies and maintain inventory
- Perform general administrative duties as needed
- Provide hands on clinical support during periods of reduced staffing, including patient recovery, filling medications, surgical discharges, and other patient care duties as needed
- Process client payments and deposits
- Assist with routine clinic cleaning and shared rotating cleaning responsibilities
Skills
- Veterinary experience is strongly preferred but not required; experience in animal care, medical, dental, healthcare, or another clinical setting is also highly valued.
- Comfortable and confident handling dogs and cats of different sizes, temperaments, and medical conditions
- Willing and able to perform hands on patient care
- Professional, compassionate, and gentle when working with clients and animals during stressful or emotional situations.
- Excellent written and verbal communication skills with strong interpersonal skills
- Comfortable interacting directly with clients in person, by phone, and by email
- Bilingual English/Spanish is a plus, but not required
- Strong organizational and time management skills, with excellent attention to detail and the ability to juggle multiple priorities in a fast paced environment.
- Resourceful and proactive, with good judgment when prioritizing tasks, solving problems independently, and recognizing when to involve a supervisor or management.
- Ability and willingness to quickly learn veterinary terminology, medical processes, and clinical procedures
- Comfortable with computers and technology, including Microsoft Office, Google Calendar, and learning new systems quickly.
- Dependable, hardworking, adaptable, and willing to help wherever needed
- Team player who works and communicates effectively with doctors and support staff
- Professional in attitude and appearance, receptive to feedback, proactive in implementing it, and able to handle stress and workplace challenges appropriately.
- High school diploma or equivalent required
