CLIENT CARE COORDINATOR

At Crisis Clean Team, every phone call tells a story.
Sometimes it's a social worker trying to help a client remain safely in their home. Sometimes it's a case manager coordinating services for a family. Sometimes it's an adult child calling because they're worried about a parent. Other times it's someone reaching out for help after living in overwhelming conditions for years.
These conversations require more than someone who can answer a phone.
They require someone who listens with compassion, stays organized, asks the right questions, and helps guide people toward the support they need.
We're looking for a Client Care Coordinator to become the heart of our client experience. You'll be the first person many clients and referral partners speak with, helping coordinate services from the initial phone call through consultation and beyond.

What You'll Do
You'll serve as the communication hub between our clients, referral partners, and internal team.
Your responsibilities will include:
- Answering incoming phone calls with warmth, professionalism, and compassion.
- Completing detailed client intakes and documenting information accurately.
- Entering and maintaining client information in our CRM and administrative systems.
- Requesting and organizing project photos and supporting documentation.
- Scheduling consultations with our team.
- Keeping projects organized and moving forward, which includes thoughtful follow-ups.
- Tracking each inquiry to ensure nothing falls through the cracks.
- Supporting the operations team with scheduling and administrative coordination.
- Helping create an exceptional experience from the first phone call through project completion.

You also know how to make people feel comfortable. Whether you're speaking with a client in crisis or a social worker coordinating care, you communicate with kindness, confidence, and professionalism.
What You'll Bring
We're looking for someone who has experience in an administrative or client support role and is comfortable working with technology throughout the day.
Preferred qualifications include:
- Experience in administrative support, client services, customer service, social services, or office coordination.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience working with CRM software or other client management systems.
- Experience using multi-line phone systems and managing a high volume of calls.
- Strong documentation and data entry skills with excellent attention to detail.
- Confidence learning new software and technology.
- Excellent written and verbal communication skills.
- The ability to prioritize multiple projects while staying organized and calm.
- A high level of professionalism and confidentiality.
